OverviewBespoke is looking for a highly motivated individual who can support the executive team and client teams across Bespoke Sports and Entertainment.
The Senior Associate, Executive Operations will be a key role across the agency, ensuring clear communication and organization across all agency functions, including executive assistance, operation management, office management, company logistics and interfacing with internal and external stakeholders on behalf of the team. This position will be fast‑paced and requires strong organization, creative and collaboration skills in working across internal and external teams.
The ideal candidate has 1-3 years of experience in operations, executive support and/or office management, ideally within a sports or agency setting.
ResponsibilitiesOffice Management
- Primary liaison with building management
- All services/equipment repair orders
- Office Budget Management (i.e. utilities, supplies, equipment, etc.)
- Inventory management and office supply ordering
- Café area management and reordering and oversight
- Scheduling for all conference rooms, huddle rooms, team meetings
- Employee event (new employee lunches, community events, happy hours, holiday parties, etc.) coordination
- Client meeting support (i.e. equipment needs, lunches, etc.)
- Manage all subscriptions
Account Management Support
- Project Accounting Support
- AR/AP Monitoring
- Liaison with Accounting Points of Contact
- Storage Unit coordination
- Internship Program and Candidate Portal Administration
- Consistent monitoring of website candidate portal
- Scheduling of interviews
- Onboarding and initial training
New Employee Onboarding
- Computers (current inventory, ordering new and coordinating set up – email)
- Linq cards/Business cards
- Key Fobs/App set‑up
- Parking
- New Employee Premium Items (Backpacks, Tumblers, Etc.)
- Initial office training
Coordinating the front reception area with interns
- Welcome Sign management and execution
- Meeting guests
- Receiving/routing packages
- Maintain front storage closet
- College degree with 1+ years of relevant experience with client & project management within a consulting organization, agency, brand, or team/league.
- Understanding of the sports, media and entertainment landscape
- Excellent business writing, presentation, communication and interpersonal skills
- Desire to work in a fast‑paced, evolving, growing, dynamic and challenging environment
- Strong interpersonal skills and the ability to build and foster key business relationships
- Creative, adaptive personality that can interface with clients and sports properties
- Excellent attention to detail with a solution‑oriented mindset, willing to problem solve on short timelines
- Ability to remain calm under pressure, multi‑task and prioritize workload while coordinating with others to proactively meet deadlines
- Must be comfortable working independently under deadlines and as an integral part of a team
- Proficiency with Microsoft Office applications; advanced skills in PowerPoint, Word and Excel for deck development and budget management
- Ability to work traditional and non‑traditional office hours as needed
- Willingness to travel to various event locations and execute on‑site as needed
This position will be in person, based in Charlotte, North Carolina.
