Position Information

Location:

COED 261-D.

Work schedule:

8:00 am – 5:00 pm, Monday–Friday. Eligible for telework after onboarding with supervisor approval.

Primary Purpose

Provides administrative support for the department chair and functions as the office manager for the unit. Serves as the unit’s budget manager and supervisor for administrative support staff and student workers. Manages and reconciles the department budget from multiple pools, builds the department schedule each term, oversees hiring responsibilities for the department in collaboration with the HR Specialist, serves as liaison for all requests with the Dean’s office, and provides select grant (internal and external) support for faculty.

Supervises work‑study students and supports faculty on external and internal grants with purchasing, travel, recruitment, and budget reports.

Job Duties
  • Responsible for administrative management of personnel, budgets, grant administration, and supervision of one full‑time admin assistant and student assistants.
  • Perform a variety of administrative, secretarial, and office support duties.
  • Prepare documents and reports; use office technology; compile records; organize and maintain files; post information; greet, refer, or assist visitors, clients, staff, or others.
  • Provide public‑contact support to obtain, clarify, or provide information regarding activities of the work unit or program.
Other Work Responsibilities
  • Course scheduling, administrative hires for part‑time faculty, hiring graduate assistants, oversight of student files.
Minimum Education / Experience
  • Bachelor’s degree in business administration or a related discipline; or an equivalent combination of education and experience.
  • All degrees must be from appropriately accredited institutions.
Preferred Experience , Skills, Training/Education
  • Experience with Excel (intermediate required, advanced preferred).
  • Experience with Banner, 49er Mart, ePAF, aGA, Malibu, Concur, PCard, Google Suite, and advanced Microsoft Suite applications.
  • General knowledge of accounting principles, strong financial report development, and presentation skills.
  • Effective verbal and written communication with all University personnel and partners.
  • Prior experience scheduling classrooms and supporting professors is a plus.
Compensation
  • Salary Range: $44,640 – $55,800.
  • Anticipate Hiring Range: $44,640 – $51,994.
