Job Description

As a Lead Administrative Assistant, you will play a vital role in ensuring the smooth operation of our administrative functions. This role will provide high‑level administrative and organizational support to Honeywell’s VP of Tax and up to two additional senior leaders and is based out of our Charlotte, NC office on a Hybrid work schedule. You will operate in a fast‑paced environment, interacting daily with internal employees as well as external customers and vendors.

You will be responsible for coordinating travel arrangements, managing multiple complex calendars, and ensuring meetings are organized and executed efficiently. Additionally, you will support a variety of critical administrative and business processes. This position requires the ability to handle confidential and sensitive information with the utmost discretion. The ideal candidate will demonstrate a strong sense of urgency, resourcefulness, and the ability to effectively prioritize and manage competing priorities.

Key Responsibilities
  • Executive calendar management: proactively organize and prioritize the executive calendar to align with current objectives, acting as a liaison for the executive team and using sound judgment and discretion.
  • Travel coordination: coordinate complex domestic and international travel arrangements, including lodging, itineraries, correspondence, visas, letters of invitation, and passport updates.
  • Meeting and conference logistics: organize conference calls and meetings for a global audience, both virtually and onsite, managing all related logistics.
  • Event planning and execution: plan and execute various events such as meetings, business luncheons, client dinners, and employee team‑building activities.
  • Document preparation: prepare agendas, reports, and presentations; maintain One Drive files and correspondence for meetings and record relevant information in the TEAMS channel.
  • Staff meeting participation: attend staff meetings as determined by leadership, track action items, and ensure consistent and thorough follow‑up.
Qualifications
  • Minimum of 5 years of experience providing administrative support in an office environment.
  • Demonstrated experience scheduling appointments, updating calendars, and coordinating global travel.
  • Proficiency in Microsoft Word, PowerPoint, Excel, and Office 365, including designing spreadsheets with formulas and pivot tables, creating dynamic presentations, and managing shared files and collaborative projects.
  • Proven ability to prioritize and manage multiple concurrent projects and deadlines in a fast‑paced environment, ensuring timely completion of tasks and high‑quality results.
  • Proactive problem‑solving with a focus on continuous improvement.
  • High level of maturity, dependability, and integrity; strict confidentiality.
  • High energy level, strong work ethic, passion to excel, and ability to build relationships across the enterprise at all levels.
  • Ability to work a hybrid work schedule in line with Executive requirements and needs.
  • Strong problem‑solving skills and attention to detail.
  • Ability to work independently and as part of a team.
