Executive Assistant to the CEO

The Executive Assistant to the CEO serves as a highly trusted partner responsible for managing the day‑to‑day operational flow of the CEO’s work and life. This role goes beyond traditional administrative support and requires strong business acumen, operational awareness, and the ability to anticipate needs, prioritize competing demands, and execute with speed and discretion.

This individual acts as an extension of the CEO — managing schedules, coordinating travel, driving follow‑ups, and ensuring priorities move forward across the organization. The ideal candidate is organized, resourceful, tech‑savvy, and thrives in a fast‑moving environment where priorities shift quickly.

Responsibilities
  • Own and manage a complex, ever‑changing calendar; proactively prioritize and protect the CEO’s time.
  • Coordinate all travel logistics (business and occasional personal), including flights, hotels, ground travel and detailed itineraries.
  • Serve as a central point of coordination across leadership to ensure alignment, preparation, and follow‑through on key initiatives.
  • Track and drive action items; follow up with internal stakeholders to ensure timely completion.
  • Prepare materials, agendas, and communications for meetings and leadership discussions.
  • Support both professional and limited personal tasks with discretion and efficiency.
  • Manage office‑related needs including supply ordering, vendor coordination, and support for company events or meetings.
  • Anticipate needs before they arise and solve problems independently.
  • Maintain strict confidentiality and professionalism at all times.

  • High level of discretion, judgment, and reliability when handling sensitive and confidential information
  • Comfortable operating with limited direction; anticipates needs and takes initiative without prompting
  • Strong follow‑through mindset with the ability to track, chase, and close out action items across teams
  • Systems‑savvy with the ability to quickly learn and leverage tools (Salesforce experience preferred)
  • Experience supporting operational workflows or project coordination, with an ability to connect details to broader business priorities
Requirements
  • 7+ years supporting senior executives (CEO or C‑suite strongly preferred)
  • Bachelor’s degree in business, administration, or related field preferred
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel), including complex calendar management and document preparation
  • Experience managing complex domestic and international travel, including detailed itineraries and last‑minute changes
  • Demonstrated ability to coordinate across multiple stakeholders and drive follow‑up to completion
  • Experience supporting both business and occasional personal tasks with professionalism and discretion
  • Experience with Salesforce or similar CRM systems preferred
