Office Manager
MKTG Sports + Entertainment is looking for an Office Manager to support our Charlotte Office. The Office Manager must have the ability to work in close partnership with other members of the organization as well as independently on projects, from conception to completion. Must work well under pressure in a fast-paced environment and handle a wide variety of confidential matters with discretion.
The ideal candidate will have the ability to exercise sound judgement on behalf of the Charlotte Office with a variety of situations as necessary and appropriate.
The purpose of this role is to provide administrative and operations support for the Charlotte Office, managing a variety of tasks to ensure seamless support and contribute to the effective day-to-day running of the organization.
Key ResponsibilitiesAdministrative:
- Oversee office supplies/materials and inventory management.
- Prepare regular expense and office budget reports.
- Distribute and store correspondence (letters/packages/emails).
- Manage front desk operational function.
- Maintains relationships and serves as liaison with key facilities and administration contacts including landlord(s), subtenant(s), architects, sublessor(s), contractors, life-safety contractors, etc. Act as the main point of contact with building management. Addresses office maintenance issues in a timely manner and conducts space audits frequently to escalate any reoccurring issues.
- Maintain a reliable, secure and compliant site, including office organization, functionality, appearance, cleanliness and security. Keep all common areas (kitchen, lounge, meeting rooms, etc.) tidy and organized.
- Communicate effectively and appropriately with all employees and vendors.
- Partner with HR on compliance (legal postings, policy adherence, safety) and new employee onboarding. Set up new hire workstations.
- Coordinate and oversee corporate office operations which includes functions such as conference room management, reception, client experience, and other office services.
- Oversees provision of office security cards.
Operations:
- Maintain constant communication with US Executive Team, staff, and vendors to ensure proper and smooth operations in the Charlotte Office.
- Partner with cross-functional and d entsu International central teams to improve company tools and systems and find efficiencies.
- Work closely with Charlotte Office Leadership, and HR as needed, on any internal projects and initiatives, especially those affecting Charlotte Office employees.
- Facilitate all internal moves, adds, changes and furniture requests, ensuring that all policy and budget parameters are met.
- Independently and collaboratively plan and execute office events, employee engagement programs and community outreach initiatives that strengthen workplace culture and enhance the employee experience.
- Standard operating procedures and new processes related to the office and provides the support necessary to ensure consistently high-quality services.
- Partner with client teams to coordinate offsite storage as needed.

This position requires an individual that has the ability to prioritize while thriving in a team-based, fast-paced and detail-oriented environment. This individual should have 3+ years of relevant office management experience. The position is in-office Monday through Friday from 8:30 AM to 5:30 PM. You are expected to work on-site at our Charlotte location during these designated business hours. Due diligence, efficiency, excellent organizational skills and confidentiality are expected.
