Office Administrator/ Coordinator, Clerical, Admin Assistant
Job Title
Performs a variety of standard secretarial and administrative tasks which may include filing, greeting and directing callers and visitors, maintaining computer databases, and typing in support of the cosmetology salon daily operations.
Duties and ResponsibilitiesResponds to inquiries and requests involving some use of independent judgment to fit situations and facts with established guidelines; serves as informational resource to staff.
Creates and updates unit files; pulls and re-files records; purges inactive files.
May maintain unit's computerized databases, updating and purging records as needed.
May monitor inventory and supplies and fill out orders as needed.
Answers phone; provides information and explains procedures; refers call to appropriate person; takes messages; screens requests for supervisor.
May research inquiries by contacting appropriate person for further information; may contact questioner to provide answer.
May assist in sales process by maintaining spreadsheets, entering services into Discovery Pro, receipting and reconciling cash.
Selects and mails form letters, brochures, and other prepared correspondence.
May type and proofread memos, correspondence and other printed material.
May gather and summarize information; may produce reports.
Performs other duties as assigned.
Minimum Requirements andPreferred Qualifications
Requires High School diploma or GED, beginner level Microsoft Office skills which include general knowledge of word processing and spreadsheets and one year office or salon experience. Assessments for the appropriate level of Microsoft Office skills will be required.
Preferred Qualifications:
Knowledge of computer and office applications, Discovery Pro a plus Knowledge of Salon Procedure and or accounting preferred
Knowledge, Skills, Abilities, and Worker Characteristics :
Knowledge of standard office procedures and equipment Ability to work well with individuals with diverse backgrounds Ability to multi-task Ability to receive and reconcile cash for services Working Conditions Typical busy salon environment; frequently sitting at a desk or workstation using a computer display, keyboard, mouse and telephone; frequent interactions with students, faculty, staff, and/or the public; infrequently lifting and carrying items up to 10 lbs.;
infrequently bending or twisting at the waist and reaching overhead; infrequently traveling between buildings on campus. Flexibility to cover as needed. Evening hours anticipated (2pm to 8 pm), day hour coverage for vacation may be required (8am to 3pm). Occasional Saturday mornings.
