Position SummaryTypically, the Front Desk Supervisor has the morning shift from 8:30AM-4:30PM, Monday through Friday. This may adjust depending on scheduling needs.
Security & Facility Oversight- Monitor main entrance and exit; grant visitor access through secured entry system.
- Request students to check in at the front desk upon arrival.
- Monitor student pick-up procedures as evening classes conclude to ensure student safety.
- Serve as the initial point of contact for walk-up visitors and direct them appropriately.
- Maintain a clean, organized, and professional reception area.
- Accept deliveries and sort incoming mail.
- Serve as the primary point of contact for internal departments, communicating relevant program, event, and operational information to Front Desk Representatives.
- Coordinate and manage special projects for Academy staff.
- Manage Adult Drop-In registration, waitlists, and payment processing.
- Write and distribute staff newsletters to communicate key updates and information.
- Develop, maintain, and update the Front Desk Operations Binder, including Active Net procedures and Academy policies.
- Assist with administrative functions in Active Net, including updating customer profiles, adding skills, and providing class rosters to instructors.
- Act as the first point of contact for patron concerns and inquiries, escalating issues as needed.
- Manage and respond to [email protected] emails, directing inquiries to the appropriate departments.
- Answer the Charlotte Ballet main phone line, forward calls, and relay messages.
- Take messages and direct questions to the appropriate department or employee.
- Address general questions from patrons, students, parents, and visitors.
- Create and manage weekly schedules for all part-time Front Desk Representatives.
- Assist with the recruitment, onboarding, and training of Front Desk staff.
- Support other departments with administrative and operational projects as approved by the Academy Experience Manager (e.g., assisting with costume organization, performance preparation, and supply management).
- 2-3 years’ experience in a customer-facing and engagement role
- Experience managing a small team in a customer service capacity
- Strong organizational skills, attention to detail, ability to manage multiple priorities, exceptional ambassador of Charlotte Ballet values, computer and systems knowledge
- Ability to motivate and inspire others
This role is in the office on site at Charlotte Ballet.
