Innovien Solutions is currently hiring an Administrative Assistant to support a growing Real Estate Administration team in need of help managing lease and property documentation. This role offers a hybrid setup with exposure to how real estate operations run behind the scenes, handling document organization, data tracking, and day-to-day administrative support.

OFFICE ADMINISTRATOR RESPONSIBILITIES:
  • 2+ years of administrative or clerical experience in a document-heavy environment — real estate, legal, property management, or similar
  • Proven experience handling high-volume document processing — scanning, filing, indexing, and data entry
  • Strong organizational skills with the ability to manage multiple documents, deadlines, and priorities simultaneously
  • Proficiency with Microsoft Office — Excel and Outlook — and CRM experience, with Salesforce preferred
  • Ability to work in a hybrid environment — Charlotte office 3 days/week — and maintain consistent, reliable support
PLUS

SKILLS:
  • Previous clerical experience in the tower space
OFFICE ADMINISTRATOR RESPONSIBILITIES:
  • Manage and maintain real estate documentation including leases, amendments, site agreements, and vendor contracts
  • Support document lifecycle management — scanning, indexing, filing, and ensuring accurate record retention across systems
  • Coordinate mail distribution, shipping, and tracking of time-sensitive legal and property-related documents
  • Perform data entry and updates within internal systems, tracking lease terms, renewals, key dates, and property details
  • Assist with audit preparation and compliance by organizing and retrieving documentation as needed
  • Partner with internal teams — Real Estate, Legal, and Operations — to ensure accurate and timely documentation flow
  • Help track and organize critical dates including renewals, expirations, and notices to support portfolio management
  • Maintain high-volume administrative workflows with a strong focus on accuracy and turnaround time
