Senior Executive Assistant to the CEO & Executive Leadership Team Position Summary
Brooks Safety Solutions is seeking a highly polished, proactive, and detail-oriented Executive Administrator to provide comprehensive support to members of the executive leadership team, including the CEO, CFO, CHRO, and COO. This individual will serve as a trusted partner to senior leadership, helping drive organizational efficiency through exceptional coordination, communication, and execution.

Key Responsibilities Executive Support- Provide day-to-day administrative support to the CEO, CFO, CHRO, and COO
- Manage complex and frequently changing executive calendars, including prioritization of meetings and scheduling conflicts
- Coordinate travel arrangements, including flights, hotels, transportation, itineraries, and related logistics
- Prepare and submit executive expense reports accurately and timely
- Support executive communications, meeting preparation, and follow-up actions
- Develop, edit, and format executive-level PowerPoint presentations with a high degree of professionalism and visual polish (“PowerPoint black belt” capabilities required)
- Coordinate leadership meetings, board-related logistics, town halls, and offsite events
- Prepare meeting agendas, materials, and presentation decks
- Take meeting notes and track action items as needed
- Coordinate facility-related services and vendor support for corporate office operations
- Coordinate thoughtful employee and executive support activities, including recognition, hospitality, and special arrangements as needed
- Manage conference room scheduling and ensure rooms are fully functional and presentation-ready
- Serve as a point person for conference room technology troubleshooting and meeting support
- Partner with IT and external vendors to resolve office equipment or technology issues efficiently
- Maintain confidentiality of sensitive company and executive information
- Assist with special projects, operational initiatives, and cross-functional coordination
- Help improve administrative processes and organizational efficiency
- Provide support for company events, executive visits, and leadership team activities
- 5+ years of experience supporting senior executives or C-suite leaders in a fast-paced corporate environment
- Exceptional organizational, time management, and multitasking skills
- Advanced Microsoft Office skills, particularly PowerPoint, Outlook, Excel, and Teams
- Strong written and verbal communication skills
- High level of professionalism, discretion, and emotional intelligence
- Ability to work independently, prioritize effectively, and adapt quickly to changing priorities
- Experience supporting multiple executives simultaneously preferred
- Experience in a private equity-backed, manufacturing, distribution, or high-growth environment is a plus
- Executive presence with strong interpersonal skills
