The Festival Coordinator, Colorado Office is responsible for supporting the day-to-day operations of our Boulder, Colorado. The Festival Coordinator plays a critical role in the set up of the Colorado office and providing administrative support to satellite offices that foster effective and productive work environments. This position will also support the Manager, Administration to facilitate initiatives that boost engagement and retention, while providing employees with community, a sense of belonging, and recognition of their efforts towards our mission.
Working directly under the direction of the Manager, Administration, this position serves as the first point of contact for questions regarding all Sundance Institute programs and activities, providing support to all internal departments, and addressing patron Festival questions.
This is a fully onsite position based out of our Boulder, CO office. Top priorities include, but are not limited to...
Welcoming, greeting, and assisting all visitors to the Colorado office (customers, clients, vendors, employees, and other guests), and directing them to the appropriate department, location, venue, or employee.
Supporting the set up of the Colorado office to include placing office furniture, decor, supplies, and other items to foster a productive work environment for all staff.
Maintaining a clean and inviting office environment by keeping the communal areas tidy and well-stocked throughout the day.
Coordinating office-wide processes and needs, including ordering office supplies, assisting in staff travel support, parking, recycling, storage, structural or system repairs, etc.
Routing all incoming calls and voicemails to the appropriate department or employee.
Managing the Colorado office reception and general Institute email addresses, including facilitating responses to patron and vendor questions.
Maintaining and organizing shared drives and folders related to the Administration team.
Assisting staff with preparing, retrieving, notifying, and tracking regular and bulk mailing, as well as retrieving P.O. Box mail regularly.
Developing an onsite storage location and process with consistent reviews and updates to inventory lists.
Supporting the surveillance of the office’s security camera and keycard system to include activating/deactivating keycards and permitting people into the office space.
Setting up and facilitating temporary satellite office workstation setups in Boulder during the Festival season.
Planning and coordinating employee events and activities, including celebrations or other gatherings, digital challenges, and monthly newsletters.
Creating a microsite or training materials that provides employees with clear instructions and guidance on how to maximize their visit in the Colorado office.
Facilitating communication with building management to resolve maintenance and office-related issues.
Staying up-to-date on general Institute information, programs, submission timelines, deadlines, and application details.
