Position Summary

The Administrative Assistant supports the Home Care department by coordinating staffing coverage, maintaining accurate schedules, communicating schedule changes to families and staff, and assisting with payroll, invoicing, long-term care filing, and other administrative functions.

Key Responsibilities
  • Coordinate staffing coverage for callouts, absences, weekend shifts, and other scheduling needs
  • Update employee schedules for callouts, no-shows, schedule changes, and coverage adjustments
  • Notify appropriate staff members and families of schedule changes in a timely, professional manner
  • Resolve scheduling conflicts when possible and elevate issues to the appropriate team member when needed
  • Collaborate effectively with Nurse Managers, caregivers, and other department staff
  • Participate in an on-call rotation as needed
  • Assist with payroll-related tasks, including timesheet edits, schedule approvals, paid day off (PDO) requests, schedule changes, and payroll reconciliation
  • Assist with invoicing and long-term care filing
  • Maintain accurate Home Care electronic and paper files
  • Complete filing, data entry, and general office support tasks as assigned
  • Assist with scheduling, staffing and administrative projects as needed

Required Qualifications
  • High school diploma or GED
  • At least one year of verifiable work experience, preferably in scheduling, healthcare, administrative support, customer service, or a related role
  • Strong written and verbal English communication skills
  • Proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Outlook
  • Ability to work independently while collaborating effectively with a team
  • Strong interpersonal, organizational, problem-solving, and time-management skills
  • Ability to manage multiple priorities in a fast-paced environment while maintaining accuracy and confidentiality
Preferred Qualifications
  • Active North Carolina Certified Nursing Assistant (CNA) certification
  • North Carolina Medication Aide certification for Adult Care Homes and Skilled Nursing Facilities
  • Previous experience in home care, healthcare scheduling, payroll support, long-term care, or administrative operations

Qualifications

Education required:

High School Graduate, Active North Carolina CNA Certificate. Certified as a Med Aide in both Adult Care Homes and Skilled Nursing in North Carolina or be willing to obtain the necessary certification within 6 months of hire.

Experience required:

  • One (1) year verifiable work experience, preferably in a related capacity.

Professional license or certification requirements:

  • NC Certified Nursing Assistant and NC Certified Med Aide for Adult Care Homes and Skilled Nursing Facilities.

Specific skills, knowledge and abilities required:

  • Ability to read, write and effectively communicate in English.
  • Proficient in Microsoft office suite including Word, Excel, Power point and Outlook.
  • Ability to work independently.
  • Demonstrated record of strong interpersonal skills as well as working as a member of team.
