Office Manager Job Overview
The Office Manager is the central point of support for the Red Cedar Construction Services office and plays an important role in keeping the workplace organized, welcoming, and running smoothly each day. This position is ideal for someone who naturally takes care of the details, enjoys helping others, and takes pride in creating an office environment where employees, visitors, candidates, vendors, and partners feel supported and welcomed.
This person will manage the day-to-day needs of the office, including greeting visitors, receiving and distributing mail and packages, maintaining office supplies and common areas, coordinating vendors, and assisting employees with general office needs. The Office Manager will also serve as an onsite point of contact for Red Cedar’s third-party IT provider, helping coordinate basic technology needs, equipment setup, troubleshooting, and communication with the IT team.
Advanced IT experience is not required, but the ideal candidate should be comfortable with technology and willing to learn.
More than anything, we are looking for someone who sees what needs to be done and takes care of it — the person who keeps the office organized, notices when supplies are running low, makes sure a new employee has what they need on their first day, and helps create a positive, professional workplace.
Essential Duties,Roles and Responsibilities
This position supports the daily operations of the Charlotte office and serves as a resource for employees, leadership, visitors, and outside vendors.
Front Office and Visitor Experience- Serve as the first point of contact for visitors, candidates, vendors, and guests entering the office.
- Greet visitors in a friendly and professional manner and notify the appropriate employee of their arrival.
- Help maintain a welcoming, organized, and professional office environment.
- Answer or direct general office inquiries as needed.
- Assist with preparing conference rooms and common areas for meetings, interviews, and company events.
- Help ensure visitors and new employees know where to go and have what they need while onsite.
- Collect, sort, and distribute incoming mail and packages daily.
- Coordinate outgoing mail, shipments, courier services, and package pickups.
- Maintain office mailing and shipping supplies.
- Assist with scanning, copying, filing, document organization, and other general administrative needs.
- Maintain organized records related to office operations, vendors, equipment, and supplies.
- Assist leadership and other departments with miscellaneous administrative projects as needed.
- Monitor and maintain office supply inventory and place orders before supplies run out.
- Maintain kitchen, breakroom, conference room, restroom, and general office supplies.
- Keep common areas organized, stocked, and presentable throughout the day.
- Coordinate coffee, beverages, snacks, and other routine office needs.
- Identify maintenance or facility issues and coordinate repairs with the appropriate vendor or property contact.
- Help ensure the office is prepared for employees and guests each day.
- Serve as the primary onsite contact for routine office vendors and service providers.
- Coordinate cleaning services, deliveries, repairs, maintenance appointments, and other building-related needs.
- Maintain vendor contact information and assist with scheduling recurring services.
- Communicate facility issues promptly and follow through until resolved.
- Assist with office access, keys, parking passes, badges, and similar administrative items as needed.
