We are looking for an Executive Assistant to support our Chief Operating Officer and his Chief of Staff, Go-To-Market. This is not a traditional executive assistant role. Both leaders spend their days in front of law firm owners and managing partners, and the work moves at the speed of those conversations: over text, on the go, with real revenue attached to whether a meeting lands this week or next.
You will own their calendars and their client scheduling, and you will be the person who makes sure nothing they commit to quietly falls off.
You will be coordinating with the executive teams at the firms we serve, holding your ground on timing, and driving action items to be done. If you have carried a quota, run a scheduling desk for account executives, you already know most of what this role asks for.
What You’ll Do
Own two important calendars. Manage scheduling end to end for the COO and the Chief of Staff. Resolve conflicts, protect preparation time before major client meetings.
Drive client and prospect scheduling. Work directly with chiefs of staff and partner law firms to get meetings booked. When you are given specific parameters, hold them, and come back with creative solutions.
Close the loop on commitments. Capture next steps out of leadership and client calls, chase the owners for what they promised, and report status before anyone has to ask for it.
Work at the pace of the business. This team runs on text. You will read urgency correctly and respond in minutes when it matters, and you will know the difference between what matters now and what can wait.
Run travel, offsites, and events. Flights, hotels, conference space, boot camps, and team gatherings, booked accurately the first time.
Use the tools built for you. AI skills, preference documentation, calendars, and internal systems exist for this role. You will use them and improve them.
Be creative and flexible. There might be more exciting opportunities that come on your plate depending on the business needs and how fast you ramp. The upward opportunity is endless.
What we look for
Client-facing, Sales Support or Executive Assistant experience. Two or more years as an executive assistant, sales development representative, business development representative, sales or account coordinator, events coordinator or in a comparable client-facing operations role.
Judgment on urgency. You can tell the difference between a request that needs an answer in ten minutes and one that can hold until tomorrow, and you do not need to be told which is which.
Precision on instructions. Details and judgements are key to the job.
Anticipation over escalation. You come back with an answer, a recommendation, or a resolved problem.
Comfort working over text. Slack matters, but the fastest channel here is a phone. You are responsive during business hours and reachable for the occasional urgent weekend task.
Credibility with senior external stakeholders. You can hold a professional, warm, persuasive conversation with a managing partner’s assistant or a…
