The Admissions Coordinator is the first point of contact for individuals and families seeking life-changing mental health support. You will manage the entire entry process—from the initial inquiry call to the first day of treatment. This role requires a high level of empathy, a deep understanding of mental health acuity, and the organizational "grit" to coordinate between clinical teams, insurance providers, and prospective clients.
Key Responsibilities- Initial Screening
:
Conduct telephonic and in-person screenings to determine clinical appropriateness for PHP and IOP levels of care. - Insurance Coordination
:
Perform Verification of Benefits (VOB) and collaborate with the Utilization Review team to ensure pre-authorizations are secured before admission. - Admissions Logistics
:
Schedule intake appointments, coordinate with the clinical director for assessment approvals, and manage the facility’s census tracking. - Documentation
:
Maintain 100% accuracy in Electronic Medical Records (EMR) and CRM systems (Alleva). - Crisis Triage
:
Effectively manage high-stress calls, providing immediate resources or referrals for callers who may require a higher level of care (Inpatient/RTC) than what is offered. - Relationship Management
:
Serve as the liaison for local Charlotte referral sources, including hospitals, private therapists, and educational consultants.
- Industry Experience
:
Minimum of 1–2 years of experience in the mental health or behavioral health field (substance abuse experience is a plus). - On-Site Commitment
:
Ability to work on-site 5 days per week at our facility in the 28269 zip code. - Local Knowledge
:
Familiarity with the North Carolina mental health landscape and local referral networks. - Regulatory Knowledge
:
Working knowledge of HIPAA, CAQH, and Joint Commission (TJC) or CARF standards as they relate to admissions. - Communication
:
Exceptional verbal and written communication skills with the ability to "close" the gap between a lead and a scheduled admission.
- Experience with Alleva EMR or similar behavioral health platforms.
- Bachelor’s degree in Psychology, Social Work, or a related Human Services field.
- Experience specifically within an outpatient (PHP/IOP) workflow.
