Why We Need YouThe Workplace & IT Operations Specialist is a senior, hands-on Individual Contributor responsible for owning and continuously improving workplace operations and end-user IT at Olly Olly as a mighty team of one.
This role ensures offices run smoothly, employees are fully set up on Day 1, devices are tracked and recovered, and People Ops and leadership are no longer pulled into operational or IT-related fire drills.
This is a doer + owner role , not a support-only or ticket-based IT position. While the role does not require engineering-level IT expertise, it does require strong technical aptitude , independent judgment, and full ownership across end-user systems, device lifecycle management, and workplace infrastructure in a fast-paced startup environment with evolving systems.
The Impact You'll HaveWorkplace & Facilities Operations
- Own day-to-day workplace and facilities operations across Austin, Charlotte, and Phoenix locations
- Manage office operations including supplies, mail, shipping, vendor coordination, and general building management
- Manage workplace vendors (internet, cleaning, security, maintenance, shipping)
- Coordinate workplace safety and risk response (access control, emergencies, air-quality / mold coordination)
- Ensure offices are functional, stocked, secure, and operational at all times
- Partner on evaluating, selecting, and managing vendors that support office IT and infrastructure needs, including equipment setup, office WiFi, and on-site technical support as offices scale or change.
End-User IT & Device Operations (Senior IC Ownership)
- Provision, configure, and deploy laptops and peripherals (macOS and Windows)
- Ensure Day-1 technical readiness for all new hires (onsite and remote)
- Serve as the primary owner and first-line resolver for non-engineering end-user IT issues (hardware, OS, access, peripherals)
- Own the full end-user device lifecycle: onboarding, repairs, replacements, and offboarding recovery
- Maintain accurate, auditable device and asset inventory using lightweight systems
- Manage user access and permissions across core tools (e.g., Google Workspace, Slack, SaaS platforms)
- Partner with People Ops on compliant offboarding and equipment recovery
- Partner with offshore IT contractors for advanced issues while retaining U.S.
-based ownership, prioritization, and escalation control
⚙ Process Ownership & Continuous Improvement
- Act as the decision-maker for end-user IT and workplace operational standards
- Build, document, and continuously improve simple, scalable processes for:
- Laptop provisioning
- Inventory and asset tracking
- Office access and security
- Vendor management
- Identify gaps in tools or workflows and recommend practical, cost-effective improvements
- Prioritize reliability, clarity, and ownership over over-engineering
- Assess when to leverage external vendors versus internal execution for workplace IT needs, and establish clear standards for vendor engagement, scope, and accountability.
