SUMMARY:
The Shipping & Logistics Coordinator serves as the primary administrative and communication hub for all shipping and receiving activities. This position owns the department shipping inbox, coordinates carrier relationships, schedules inbound and outbound freight, manages shipping documentation, supports inventory control activities, and ensures accurate and timely communication between customers, carriers, warehouse personnel, Assembly/Final Test personnel, and internal departments. The Shipping & Logistics Coordinator plays a critical role in maintaining efficient material flow and providing exceptional service to both internal and external customers.
Shipping Communication and Carrier Management
- Serve as the primary owner of the Shipping Department email inbox and ensure timely response to all shipping-related inquiries.
- Prioritize and route requests received through the shipping inbox to the appropriate personnel.
- Track and follow up on open shipping issues to ensure timely resolution.
- Maintain communication with parcel, LTL, and freight carriers regarding pickups, deliveries, claims, scheduling, and shipment exceptions.
- Contact carriers to arrange pickups for outbound shipments.
- Work with carriers to schedule pickups of customer returns, supplier returns, and other return shipments.
- Respond to customer, carrier, and internal shipping inquiries in a timely and professional manner.
- Work with carriers to resolve shipment discrepancies, delivery issues, and tracking requests
- Coordinate and assist with the filing and resolution of carrier loss, damage, and freight claims
- Sort and distribute picking and packing lists to Assembly/Final Test personnel or warehouse order pullers based on order requirements.
- Prepare and distribute shipping documentation including bills of lading, shipping labels, commercial invoices, and other required shipping paperwork.
- Monitor shipment status and communicate shipment information to internal departments as needed.
- Coordinate with warehouse, assembly, and final test personnel to communicate priorities and ensure orders are processed accurately and on schedule.
- Assist in identifying and resolving order processing issues and shipment delays.
- Assist with review of shipping documentation for completeness and accuracy prior to shipment release
- Assist with processing domestic and international shipments.
- Enter packing list information for received goods into ERP System.
- Upload packing lists and receiving documentation into electronic storage system (TCC).
- Verify completeness and accuracy of receiving documentation.
- Report inbound overages, shortages, or damages to supply chain personnel
- Maintain organized files for all warehouse and shipping documentation, including but not limited to:
- Inbound bills of lading and manifests
- Inbound packing lists
- UPS and Fed Ex manifests
- Copies of invoices for international shipments
- Copies of no-charge invoices
- Outbound bills of lading
- Assembly and Final Test traveler/QA documents
- Carrier shipment records
- Other warehouse and shipping records as required
- Maintain shipping and receiving records in accordance with company document retention requirements
- Assist in creating, updating, and maintaining departmental work instructions and forms.
- Assist with inventory cycle counting activities.
- Perform inventory-related data entry and transaction processing.
- Assist with investigation and report inventory discrepancies.
- Print and apply labels to identify inventory items that are improperly labeled, missing labels, or otherwise difficult to identify.
- Support inventory accuracy initiatives and continuous improvement efforts.
- Maintain professional communications with customers, carriers, and internal departments.
- Assist with special projects and departmental initiatives.
- Participate in continuous improvement activities related to shipping, receiving, inventory control, and warehouse operations.
- Maintain a safe and organized work environment.
- Perform other duties as assigned.

EDUCATION AND/OREXPERIENCE:
- High school diploma or equivalent required.
- 2 years of experience in shipping, logistics, warehouse administration, customer service, or related operations support roles preferred
- Strong organizational and administrative skills.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Outlook, Excel, and Word.
- Experience with Oracle or similar ERP systems preferred.
- Experience with UPS World Ship, Fed Ex Ship Manager, or similar transportation management systems preferred.
