The Order Fulfillment Coordinator is responsible for executing standardized operational tasks on behalf of stores, ensuring accuracy, consistency, and speed across order processing, inventory data, and vendor coordination. This role serves as a critical execution layer within Central Operations, partnering with store fulfillment.
Core Responsibilities Order Management & Fulfillment Support- Create and process job orders, special orders and shop supplies
- Monitor order status, exceptions, and delays; elevate when service levels are at risk
- Support central receiving workflows and validate stock receipts before store distribution
- Assist with order-related customer or store inquiries routed to Central Ops
- Create, maintain, and correct SKUs (including diamond and lab SKUs)
- Ensure pricing accuracy, vendor alignment, and system data integrity
- Resolve duplicate or incorrect SKUs tied to job orders or memo items
- Support QC workflows (diamond testing, validation, and receipt checks)
- Support vendor coordination activities (shipping confirmations, memo returns, discrepancies)
- Assist with memo reporting, reconciliation, and exception tracking
- Ensure vendors are following centralized shipping instructions to Charlotte and vendor follow-ups
- Support shop supply ordering
- Support centralized reporting by maintaining accurate operational data
- Track order backlogs, aging, and exceptions for leadership visibility
- Assist in audit preparation and end-of-period cleanup activities
- Serve as a first-line Central Ops support resource for store operations questions
- Provide consistent, documented responses aligned to Central Ops process guides
- Strong operational execution and attention to detail
- Comfort working in high-volume, process-driven environments
- Ability to follow standardized workflows and elevate appropriately
- Experience with inventory systems, job orders, or retail operations strongly preferred
- Clear written communication skills for store and vendor interactions
- Order accuracy and turnaround time
- Reduction in store-level operational workload
- SKU and data error reduction
- Positive store feedback on Central Ops responsiveness
