Job Description
To serve as primary administrator for the HDM program with assignments directed by supervisor.
Responsible for direct communication with JABA’s HDM vendors regarding all aspects of meal coordination, vendor monitoring, client enrollment and disenrollment and communications with JABA staff regarding client needs. This position is responsible for critical data tracking and entry that is vital to the program’s success.
Essential FunctionsProgram Coordination:
Schedule program work, oversee daily operations. Supervise food and safety regulations to ensure adherence to federal and state guidelines. Communicate with vendors to ensure deliveries; communicate with referring JABA staff. Coordinate client mailings.
Data Management & Reporting:
Review and code invoices. Enter monthly data into web based data management system to include all services provided monthly calls, services coordination, meals provided, etc.). Ensure data entry is completed for nutritional education and counseling. Manage client lists. Review and conduct program evaluation. Utilize information to improve services and results.
Service Provision:
Directly provide or manage volunteers who provide monthly calls to all HDM clients as required by DARS Service Standards. Serve as support staff for virtual programming.
Fiscal Management:
Monitor expenses against meals caps. Code and coordinate payments for program expenses. Monitor meal caps and related documentation. Report regularly on program performance against meal caps.
Monitoring:
Monitor vendors for compliance against all relevant standards. Prepare/collect materials for organizational reviews.
Maintaining Confidentiality:
Prevent the unnecessary or accidental sharing of confidential and personal information by efficiently directing calls and visitors to appropriate staff with minimal information sharing.
Professional Development:
Complete 5 hours of professional development/training annually;

Employee works primarily in an office environment. Telework may be permitted. This position also requires the employee to travel by automobile and to be exposed to changing weather conditions. The employee works in varied business and residential environments based on program needs.
Telecommuting is permitted on the decision of supervising Director after probation has been completed. Employees are required to have a dedicated work area established that is separated from other living areas and provides information privacy and the ability to keep all company sensitive documents secure (if applicable).
Physical DemandsThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
This is a largely sedentary role, however, infrequently staff may be required to deliver meal boxes directly to client homes, therefore candidate must have the ability lift up to 25 lbs.
The employee is regularly required to participate in online and in person meetings and communicate effectively with team members, peers, clients, and community partners.
Employee uses a computer extensively for data entry and other functions of the position.
Employee expected to maintain physical files and filing system. Infrequently staff may be required to deliver meal boxes directly to client homes.
The position primarily works from an office or telecommuting environment and may be asked to travel to other locations within Virginia.
Position Type/Expected Hours of WorkThis is a part-time position working 25 hours Monday – Friday.
TravelTravel is primarily local travel during the business day.
RequiredEducation and Experience
Basic user of Microsoft Office Suite and other applications such as Zoom. Experience with online data management.
