Office Services Specialist (WAGE)

Responsibilities- Serve as Deputy Registrar for Vital Statistics and primary point of contact for Vital Records program information, explaining reporting regulations and requirements.
- Review birth and death certificates for completeness, assign control numbers, sign certificates, and issue certified copies to eligible applicants.
- Issue burial transit, disinterment, and reinterment permits in accordance with applicable policies and regulations.
- Perform various administrative tasks, provide guidance on environmental health permits, and act as a backup for EH Office Services Specialists.
- Accept and process sewage disposal and well construction permit applications, verifying compliance with regulations, scheduling site visits, determining fees, writing receipts, and coding funds.
- Compile historical data on previous well and sewage disposal system installations, research applicant property records, tax map information, and adjacent properties.
- Knowledge of office and administrative principles and practices.
- Working knowledge of word processing and spreadsheet software applications.
- Ability to interpret and follow established procedures and guidelines.
- Effective communication skills with internal and external customers, verbal and written.
- Considerable skill in operating standard office equipment.
- Experience working in an office setting.
- Working knowledge of VDH Vital Records and Environmental Health programs.
Wage employees serve at the will and pleasure of the appointing authority and continue based on available funding and business need. They are not covered by the Virginia Personnel Act and are not eligible for benefits provided to salaried employees. Wage employees are paid only for hours worked and may not exceed 1,500 hours in the standard measurement period (May 1 – April 30).
They may be re‑hired after the next measurement period and are eligible to apply for classified positions. An employment offer is contingent upon satisfactory background checks and compliance with all legal requirements.
