The Opportunity

This position is ideal for a highly organized, thoughtful professional who enjoys being the steady force behind complex operations. Reporting to the Administrative Operations Manager, the Administrative Generalist serves as a trusted partner to military leadership, faculty, staff, and students—anticipating needs, managing details, and ensuring that day-to-day operations run seamlessly.

Rather than focusing narrowly on one function, this role offers variety and visibility, blending administrative, operational, financial, and communication responsibilities. If you enjoy work that requires discretion, judgment, and relationship building—and you take pride in enabling others to do their best work—this position offers a meaningful way to contribute.

Why This Role Matters

ROTC programs operate in a unique environment that bridges higher education and the U.S. Armed Forces. This role helps ensure those programs function in a professional, predictable, and fully compliant manner. The Administrative Generalist plays a key role in creating structure, responding to needs, and maintaining continuity—often serving as the first point of contact for individuals engaging with the programs.

The work you do will directly support students preparing for national service, and it will contribute to the University’s broader public mission.

What You’ll Be Responsible For
  • Provide comprehensive administrative and operational support to the Army and Air Force ROTC units.
  • Serve as a central coordinator—managing calendars, communications, space planning, events, and logistics.
  • Support the planning and execution of meetings, trainings, recruitment activities, orientations, and special events, some of which may occur outside of normal business hours with advance notice.
  • Monitor and assist with budget tracking, purchasing, reimbursements, and vendor coordination, working closely with University finance partners.
  • Maintain accurate records and data across University and ROTC systems, ensuring integrity, confidentiality, and adherence to established protocols.
  • Support compliance with University policies and ROTC regulations, including preparation for audits, inspections, and required reporting.
  • Act as a professional representative of the office, thoughtfully triaging inquiries and ensuring timely follow‑through.
What We’re Looking For
  • A high degree of professionalism, discretion, and sound judgment, particularly when handling confidential or sensitive information.
  • Strong organizational skills and the ability to manage multiple priorities in a dynamic environment.
  • Excellent written and verbal communication skills and a service‑oriented mindset.
  • The confidence to work independently while collaborating effectively with a wide range of stakeholders.
  • Comfort navigating systems, processes, and policies—and the curiosity to research solutions when answers aren’t immediately clear.
  • Experience in administrative, operational, or program support roles, ideally within a complex organization.
Work Environment & Team

You’ll be part of a broader professional staff within the Provost’s Office and will work closely with ROTC leadership and University partners across academics, finance, facilities, and student services. While most work occurs during standard business hours, periodic evening or weekend event support is expected, with ample advance notice.

Why Consider This Position?
  • A chance to contribute to a mission‑driven program with real civic impact.
  • Exposure to senior leaders and cross‑functional work within the University.
  • Variety, responsibility, and the opportunity to be relied upon as a trusted operational partner.
  • A professional environment that values collaboration, initiative, and continuous improvement.
