Albemarle County’s Department of Facilities & Environmental Services is seeking a temporary Administrative Assistant to perform various office management and administrative duties.
6‑month temporary, 20‑40 hours per week.
Job Summary /ObjectivePerforms high‑level office management work and administrative duties in support of the professional staff, requiring thorough knowledge of departmental operations and functions. Independently performs complex clerical, administrative and technical work; duties may be varied and require selection of appropriate actions among several alternatives. The individual plans daily work and priorities under the general objectives of the supervisor. Work is performed under general supervision.

Essential Functions- Performs office management and administrative duties: ensures bills are paid in a timely and accurate manner while adhering to organizational procedures; analyzes and recommends renewal of office online resources, technical equipment and warranties; monitors and processes paperwork for contract renewal; solves computer and printing issues; oversees the maintenance and proper working conditions of the office; prepares reports for statistical analysis and other purposes.
- Processes credit card transactions, purchase orders, receipts, and a variety of other transactions using several software programs.
- Supports customer service program and responds to public concerns as necessary: screens visitors, callers, U.S. mail and email, independently answering inquiries when possible, or directing to appropriate staff when necessary, and facilitating staff responses.
- Supports team by performing tasks related to organization and strong communication.
- Establishes and maintains files; files documents and other materials.
- May coordinate activities of office and provide back‑up for administrative staff.
- Other duties as assigned.
Knowledge/ Skills/Abilities
- Comprehensive knowledge of standard office practices, procedures, equipment and clerical techniques.
- Thorough knowledge of departmental functions, organization, and policies; ability to make difficult arithmetic calculations; ability to lay out and type complex forms and tables.
- Comprehensive knowledge of business English and spelling.
- Ability to establish and maintain effective working relationships with employees and the general public, as well as government officials.
- Basic to Intermediate level proficiency in office‑related software (Microsoft Office).
- Ability to use a variety of office equipment, including computer, printer, multiple‑line phone, and scanner.
- General knowledge of accounting principles and practices; ability to maintain complex financial records and prepare complex financial reports accurately.
- Ability to prioritize work to meet specified deadlines.
- Ability to deal effectively with co‑workers, state/federal agencies, etc.
Education and Experience
- Any combination of education and experience equivalent to graduation from high school.
- At least one year experience in administrative support (including computers, bookkeeping, and accounting).
- Considerable experience using personal computers.
- Possession of a valid appropriate driver’s license issued by the Commonwealth of Virginia preferred.
- Some contacts are made with individuals from other internal units or outside organizations or the general public for purposes of exchanging information which may require some judgment or interpretation.
- Communication is usually cooperative in nature with infrequent conflicts resolved by higher authority.
- Conducts work in a sitting position; however, job requires frequent standing, walking, bending, stooping and light lifting.
- Requires frequent operation of a variety of office machines.
This position is not eligible for remote work. In‑person presence is required. All County staff must maintain residence within the Commonwealth of Virginia.
The Salary RangeThe hiring range for this position is $21‑24 per hour. Starting offer is based on applicable education beyond minimum requirements and internal equity. This is a temporary, FLSA non‑exempt position. Anticipated length of assignment is 6 months.
