Position: SUPPORT STAFF III, ADULT DEVELOPMENTAL SERVICES-CHARLOTTESVILLE (FULL-TIME)

General Statement of Responsibilities

The Support Staff III reports to the Senior Director of Adult Developmental Services and the Office Manager for day‑to‑day leadership and oversight. The role provides switchboard operation and front desk support while analyzing facts and determining actions using standard practices. Duties require planning own work after objectives set by the supervisor, with unusual situations referred to the supervisor.

Major Duties
  • Answer and route all incoming calls, taking call‑back information when needed. Manage the multi‑line phone system to assure efficient coverage and ensure emergency service calls are transferred to a live person.
  • Greet visitors and staff politely and help them locate their destination.
  • Provide walk‑in information and connect appropriate consumers to Emergency Services.
  • Assist with scanning, filing, and other clerical duties for Adult Developmental Services.
  • Maintain a professional demeanor and attitude.
  • Read all agency communications.
  • Perform other duties and special projects as assigned by the supervisor.
Qualifications

Knowledge:

  • Standard office practices and procedures; use of telephone, computer, copier, and calculator; secretarial techniques; medical records; referrals; how other organizations relate to Region Ten; compliance methods; data analysis; filing; record keeping; research methods; standard business English.

Skills:

  • Organization, record keeping, filing; computer and keyboard use; photocopying; using multi‑line telephones; initiating and completing work promptly; accomplishing compliance; analyzing data, written charts, and billing processes; communicating with a diverse range of people, including families, children, providers, insurance company staff, and community partner agencies.

Abilities:

  • Work efficiently in a busy, often disruptive environment; deliver good customer service; maintain productivity; schedule work days to run smoothly; work well under pressure; promote good public relations; accept supervision and follow directions; display a professional demeanor with consumers, staff, and the public; analyze and note deficiencies in documentation and records; use the automated data system to run reports.
