Role Description The Office Associate is a full-time, on-site role based in Charlottesville, VA, supporting daily administrative and customer service operations. In this position, the Office Associate answers phone calls and emails, schedules service appointments, and serves as a first point of contact for residential and commercial customers. The role includes maintaining office records, assisting with billing and basic accounting tasks, preparing documentation for jobs, and coordinating with field technicians and management to ensure accurate information flow.
The Office Associate also helps with general office administration, data entry, and filing, while contributing to a professional, organized, and responsive office environment.
Qualifications
- Candidates should possess strong Communication and Customer Service skills to interact effectively with clients, team members, and vendors.
- Candidates should possess Administrative Assistance and Office Administration skills to manage scheduling, records, documentation, and daily office workflows.
- Candidates should possess basic Accounting skills to assist with invoicing, payment processing, and financial record-keeping.
- Candidates should possess proficiency with office software (such as MS Office or similar tools) and accurate data entry skills.
- Candidates should possess strong organizational skills, attention to detail, and the ability to prioritize multiple tasks in a fast-paced environment.
- Candidates should possess a customer-focused mindset and the ability to remain calm and professional when supporting clients experiencing property damage or emergencies.
- High school diploma or equivalent is required; prior experience in an office, restoration, or service-based environment is beneficial.
