The Department of Radiology & Medical Imaging within the UVA School of Medicine is seeking two Grants and Contracts Specialists to support research projects before and after award. These independent contributors will handle financial data, process grant and contract packages, and maintain compliance with funding and institutional regulations. Specialists may work remotely up to two days per week after onboarding and training.
Responsibilities generally include excellent written, verbal, and interpersonal communication, strong analytical skills, and the ability to manage competing priorities to provide clear guidance and resolution on process-related inquiries.
Pre‑Award Responsibilities- Prepare and submit grants and contracts through the full pre‑award process, following sponsor and UVA regulations.
- Advise faculty on administrative requirements for proposal submissions.
- Prepare and review proposal elements (biosketches, facilities & resources, etc.) for accuracy and completeness.
- Assist with developing budgets and budget justification, proofing for inconsistencies.
- Monitor compliance with agency and university regulations and verify financial information, including overhead rates.
- Collaborate with Clinical Research Coordinators to develop complex budgets.
- Coordinate with the Office of Grants and Contracts to review and adapt proposals.
- Process non‑funded agreements critical to future funding.
- Maintain delegated access and responsibility for faculty SciENcv accounts, ensuring compliance.
- Review faculty compliance status and maintain required trainings and certifications before proposal submission.
- Assist with department budget preparation by communicating with faculty about funding probability.
- Other duties may be assigned.
- Prepare and certify monthly account reconciliations, process invoices, create purchase orders, and perform accounting adjustments.
- Provide financial oversight, compliance guidance, and administrative support regarding sponsor and institutional regulations.
- Perform detailed financial analysis of award spending and project future expenditures.
- Identify and address risks related to research projects such as budget overruns or compliance violations.
- Work with PIs and stakeholders to develop mitigation strategies and resolve issues.
- Prepare progress reports in compliance with sponsor guidelines.
- Submit payroll costing allocations and adjustments.
- Maintain faculty iLAB accounts and accurate work tags.
- Complete biannual payroll account confirmations with faculty.
- Stay informed about changes in funding agency requirements and regulations.
- Meet with faculty monthly or quarterly to review grant reports and balances.

Associate’s degree;
Experience:
at least two years of relevant experience;

- Work experience with Grants and Contracts or Research Administration, preparing proposals for federal sponsors and monitoring research grants in higher education.
- Proficiency in Microsoft Word, Excel, Outlook, ResearchUVA, and/or Workday Finance.
- Certified Research Administrator (CRA) certification or similar.
- Professional 1 Specialists: $44 k–$55 k (non‑exempt) based on education and experience.
- Professional 2 Specialists: $58 k–$65 k (exempt) based on education and experience.
