The Office of the Executive Vice President and Provost seeks candidates for a Faculty Affairs & Personnel Actions Associate
. This position will report directly to the Associate Provost for Academic Administration within the Office of the Executive Vice President & Provost; works closely with the Vice Provost for Faculty Affairs and is a member of a collaborative team of professional staff supporting faculty personnel processes across the University.
This position provides critical operational and project management support for major faculty affairs processes within the Office of the Executive Vice President & Provost. The incumbent is responsible for managing cyclical processes and designing and maintaining systems that support faculty personnel actions. The position requires strong organizational skills, technical proficiency, and the ability to collaborate effectively across diverse stakeholder groups. The ideal candidate is collaborative and adaptable, with the ability to balance a strong attention to detail while keeping sight of the bigger picture.
Key Responsibilities Faculty Affairs Process Management, Guidance & Support- Oversee, enhance, design, and support faculty affairs workflows and systems in alignment with institutional and stakeholder requirements, and in support of timely and well-informed decision‑making and accurate reporting.
- Work collaboratively to improve and sustain transparency and response times; to ensure data integrity across enterprise and local systems; and to ensure compliance with institutional standards and policies.
- Partner with, and provide training, mentoring, technical support, and ad hoc guidance and consulting to faculty affairs and HR staff as appropriate to ensure compliance with institutional standards and smooth workflows. This includes creating procedural guides and maintaining detailed schedules to support onboarding, knowledge transfer, and standardization workflows.
- Co‑Lead preparation, quality review, and delivery of personnel actions (elections, promotions, endowed chair actions, emeritus), ensuring accuracy and alignment with policy.
- Manage complex, high‑volume action cycles using enterprise systems (Workday), as well as customized applications, and partner with HR on data validation and mass‑upload processes (EIB).
- Mentor colleagues to build capacity and resilience within the team.
- Serve on committees.
- Contribute to faculty affairs community‑building activities and special events.
- Engage in University‑wide initiatives and networking opportunities.
- Bachelor's degree.
- Experience:
At least four years of relevant experience or Master's degree with at least one year of relevant experience. Relevant experience may be considered in lieu of a degree. - Demonstrated experience in project management and process improvement.
- Proficiency with Smartsheet, Workday, and/or other technical systems.
- Strong analytical skills and ability to interpret and apply policy.
- Excellent written and verbal communication skills.
- Ability to manage multiple projects and meet deadlines in a fast‑paced environment.
- Master’s in Higher Education Administration, Public Administration, or related field; or significant commensurate experience preferred.
- PMP certification, training undertaken or willingness to obtain.
- Experience in faculty affairs, academic administration, or HR within higher education.

The salary for this position will be commensurate with education and experience. This is primarily a sedentary job involving extensive use of desktop computers. The job will occasionally require traveling some distance to attend meetings and programs.
