Student and Program Support Specialist
The Student and Program Support Specialist reports to the Sr. Assistant Dean of Advising and Student Success and provides operational, administrative, logistical, and student-facing support for students and academic programs within the School of Nursing. Working collaboratively within the Office of Advising and Student Success (OASS), and with program leadership, academic operations, students, and University partners, the Student and Program Support Specialist helps ensure that student support processes, program operations, communications, and administrative functions are organized, timely, accurate, and responsive to program and school needs.
Key Responsibilities Student and Program Support- Serve as primary contact for School of Nursing student organizations
- Support student onboarding, orientation, progression, graduation, and ongoing program milestones and processes.
- Coordinate catering arrangements for meetings, orientations, and program events as well as manage the student-focused food pantry.
- Assist with student support needs and facilitate communication between students, faculty, and program leadership.
- Respond to routine inquiries from prospective students, faculty, and the public.
- Schedule program meetings, student meetings, conferences, workshops, and other program-related events as needed.
- Reserve rooms and coordinate scheduling through Outlook and other University scheduling systems as needed.
- Assist with program logistics, communications, documentation, school mail delivery, and operational coordination.
- Support program budget processes, purchasing, reimbursements, expense tracking, and other administrative financial activities as assigned.
- Assist with coordination of gifts, recognition activities, celebrations, and hospitality efforts involving students, faculty, staff, and external partners.
- Provide operational and logistical support for instructional activities and classroom processes.
- Assist with exam coordination and proctoring support, particularly ATI examinations and other standardized testing activities.
- Support faculty with scheduling coordination, course-related logistics, and routine administrative needs related to teaching activities.
- Assist with coordination of instructional materials, meeting preparation, and other operational support activities.
- Collaborate effectively with faculty, staff, students, and University partners to support positive program operations and student experiences.
- Contribute to a professional, organized, student-centered, and service-oriented work environment.
- Participate in School meetings, trainings, committees, and professional development activities as assigned.
- Perform other duties as assigned.
- Education:
High school diploma or equivalent required. - Experience:
1+ years relevant experience required.
- Bachelor’s degree or equivalent combination of education and experience.
- Experience working in higher education, healthcare, or academic program support environments.
- Familiarity with student information systems, learning management systems, scheduling systems, or compliance tracking systems.
- Experience supporting academic programs, faculty operations, and/or student services.
- Proficiency with Microsoft Office applications and standard administrative systems.
- Strong organizational, administrative, and customer service skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple responsibilities and priorities in a fast-paced academic environment.
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings and programs.
Hiring Range$20.00 - $28.00 per hour, commensurate with experience.
Position Type & Work Location- This is a non-exempt-level, benefited position.
- This position is based in Charlottesville, VA, and must be performed on-site.
