Position: Medical Education Programs Coordinator (Staff Wage)

The Department of Medicine seeks a part-time Medical Education Programs Coordinator with a focus on its residency program. Medical Education Programs Coordinators (MEPCs) participate in the planning, preparation, and implementation of programs, daily operations, and educational activities for training programs, and as a result, they operate with additional authority, independence, or level of complexity. Beyond basic administrative duties, MEPCs develop materials, coordinate calendars, interact with educational program participants, and ensure compliance with relevant national organizations to maintain high standards of programs.

They work independently but receive assignments and direction from supervisors and Program Directors. MEPCs are responsible for recruitment, record maintenance, communications, adherence to accreditation requirements, and curriculum support.

Duties can include:
  • Assume responsibility for the daily administrative operations and coordination of the Department of Medicine’s (DOM) residency and fellowship programs.
  • Respond to requests for assistance and information from program directors, residents, fellows, medical students, administration, Graduate Medical Education Office, or outside agencies.
  • Ensure that all annual goals and objectives are tracked and achieved, including meeting scheduling deadlines, monitoring and logging duty hours, coordinating curriculum review, with development of and assigning schedules, rotations, and evaluations in New Innovations.
  • Develop and facilitate orientation, workshops, and graduate medical education activities. Schedule space and organize necessary materials for these events and resources.
  • Assist in the pre-screening, interviewing, ranking, and selection of program trainees. Mentor program trainees, track and communicate progress.
  • Prepare and distribute instructional materials and course information.
  • Ensure the operations of the medical education programs comply with the Accreditation Council for Graduate Medical Education (ACGME), policies and procedures as outlined by UVA Health System’s Graduate Medical Education Office and the UVA Continuing Medical Education (CME), and the Liaison Committee on Medical Education (LCME).
  • Submit updates to professional organization databases.
  • Function as an integral player on the DOM education team, to include providing cross-coverage and support as needed.
  • Participate in and contribute to residency and fellowship special projects and events, such as recruitment and orientation, year-end graduation receptions and dinners, Grand Rounds, retreats, Scholars/Research Day, Department committees/task forces, and in-service training exams as needed to represent the needs and perspective of the residency and fellowship programs.
  • Establish and maintain relationships with the UME, residency and fellowship coordinator counterparts in other UVA departments and those from other institutions.
  • In addition to the above job responsibilities, other duties may be assigned.

MINIMUM REQUIREMENTS

Education:

High school diploma/GED

Experience:

3+ years of relevant professional experience required.

Licensure:
None.

    Previous experience with graduate medical education
PHYSICAL DEMANDS

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
