The Department of OBGYN is hiring a Research Finance & Administration Generalist and seeks a motivated, detail-oriented, and collaborative professional to join its research administration team. This position supports both the financial and administrative aspects of research, serving as a key partner to faculty, principal investigators, and departmental leadership.
The Research Administration team is responsible for managing a wide range of research-related functions, including proposal preparation support, budget development, post-award financial management, compliance monitoring, reporting, and coordination with central offices. The Generalist will perform professional-level work across research finance and research administration disciplines, independently executing a broad range of responsibilities based on departmental needs.
This position is located in Charlottesville, VA. A hybrid work schedule may be available after a probationary training period and is based on experience, performance, and operational needs.
Research Finance Responsibilities- Support investigators, research finance teams, and department leadership in planning, monitoring, and managing research budgets.
- Assist with clinical trial financial setup, including schedules of finance, coverage analysis support, and Epic billing reviews to ensure accurate charge capture.
- Manage day-to-day financial activity for sponsored and non-sponsored research accounts in compliance with sponsor terms and institutional policies.
- Prepare and process study invoices, including internal and external billing and consulting agreements.
- Review and process routine financial transactions such as purchasing, expense reimbursements, journal entries, and cost transfers.
- Perform regular account reconciliations, identify discrepancies, and support timely resolution.
- Prepare and distribute periodic financial reports for investigators and departmental stakeholders.
- Maintain accurate and complete financial records in institutional financial systems.
- Develop working knowledge of institutional financial and research systems to support account setup, budget tracking, and reporting.
- Provide financial support for grant and contract submissions, renewals, and approvals in coordination with the central administrative offices.
- Complete special projects and other duties as assigned by departmental leadership.
- In addition to the above job responsibilities, other duties may be assigned.
Education:
Bachelor's Degree or combination of education and related experience in lieu of a degree required.
Experience:
3+ years of relevant experience required.
Licensure:
None
- Clinical Research administrative experience, including but not limited to: IRB processes, federal policies and guidelines related to human subjects, review and interpretation of Clinical Trial Agreements (CTA), clinical study start-up and closure.
- Experience with University of Virginia platforms related to clinical research management, including Huron, Workday Financials, OnCore, and Epic.

PHYSICAL DEMANDS:
This job requires extensive computer work, patient interaction, and the ability to traverse the footprint of the UVA medical center. Occasional travel to other UVA clinics. The job does occasionally require traveling some distance to attend meetings and programs.
