The University of Virginia's number one ranked Department of Student Health and Wellness (SHW) provides a comprehensive range of medical, mental health, well‑being, and disability support services to all enrolled undergraduate and graduate students. The University of Virginia's Medical Services, a unit within the Department of Student Health and Wellness, is seeking an Inventory Senior Assistant. The Inventory Senior Assistant supports the operational needs of Student Health & Wellness by ensuring medical supplies, equipment, and materials are accurately tracked, properly stored, and readily available.

This role performs routine to moderately complex inventory tasks with moderate supervision, requiring strong organizational skills, attention to detail, and sound judgment. The position maintains professional working relationships with staff, vendors, and campus partners to ensure safe, efficient, and compliant operational practices.

Responsibilities
  • Maintain accurate inventory records; order and replenish medical, office, and waste‑management supplies; and monitor usage trends to support cost‑effective, uninterrupted operations.
  • Manage purchasing and vendor coordination, including placing orders, reconciling deliveries, resolving discrepancies, and maintaining professional relationships with internal teams and external partners.
  • Use Excel, Medicat, Smartsheet, and other systems to track, analyze, and update inventory data; conduct cycle counts; reconcile stock variances; and maintain secure electronic documentation for audits and accreditation.
  • Monitor expiration dates for supplies and medications, rotate stock, and ensure compliance with regulatory and safety standards.
  • Troubleshoot supply shortages, delivery issues, and inventory inconsistencies, escalating concerns when necessary.
  • Deliver and distribute supplies across SHW facilities and coordinate with UVA Sterilization Processing to retrieve and manage sterile supplies with proper documentation.
  • Maintain clean, organized, and compliant storage areas to support safety, accessibility, and operational efficiency.
  • Prepare inventory reports and participate in inspections, accreditation activities, and quality‑assurance initiatives.
  • Assist with onboarding and training new staff on inventory procedures, supply room workflows, and system use.
  • Support SHW facility policies, safety procedures, customer service needs, and operational improvement initiatives.
  • Perform other duties as assigned.
Required Qualifications Education & Experience
  • High school diploma or equivalent required.
  • 3 years of experience in inventory management, supply chain operations, healthcare support, pharmacy operations, or a related field.
  • Experience in a healthcare or clinical environment preferred.
  • Familiarity with inventory management systems and digital recordkeeping tools.
Knowledge, Skills & Abilities
  • Strong organizational, prioritization, and time‑management skills.
  • Proficiency in Excel, Smartsheet, and inventory system platforms, with the ability to learn new technologies.
  • Ability to lift, move, and transport supplies and equipment.
  • High attention to detail, accuracy, and follow‑through.
  • Strong communication skills and ability to collaborate effectively with staff and vendors.
  • Ability to follow established procedures while exercising judgment when adjustments are needed.
  • Commitment to confidentiality and appropriate handling of sensitive information.
About the Position

The anticipated hiring range for this position is $18–$24 per hour, commensurate with qualifications and experience.

This is a full‑time, 40‑hour/week, benefits‑eligible position with UVA benefits. The selected candidate will pass a background check and drug screen. This position will not sponsor applicants for work visas now or in the future.

The role requires sitting for prolonged periods, frequently traveling; repetitive motion (computer tasks); proficient communication, auditory and visual skills; attention to detail and ability to write legibly; ability to lift/push/pull less than 20 lb. May be exposed to outdoor climate.
