Madison House serves as the student-led volunteer center for University of Virginia students, supporting student leadership, community partnerships, and a lifelong commitment to service.
The Finance and Operations Generalist supports the effective operation of Madison House through financial administration, office management, facilities coordination, and organizational support. This position oversees financial processes across UVA, the UVA Fund, and the Madison House nonprofit entity; manages office and building operations; and helps ensure the systems, resources, and infrastructure necessary to support staff, student leaders, volunteers, and community partners.
During the initial phase of Madison House's partnership with the University of Virginia, the position will also support the financial operations of the Madison House nonprofit entity, including bookkeeping, payroll administration, financial reporting, and compliance activities. Training and oversight will be provided during this transition period. The long‑term goal is to transition these functions to the University of Virginia in a phased approach over approximately two years, ultimately aligning financial operations under UVA’s support model.
The Finance and Operations Generalist reports to the Executive Director and collaborates closely with the full Madison House team and the UVA Provost Office Finance Team in finance related responsibilities.
Responsibilities- Coordinate financial operations by processing transactions, reimbursements, vendor payments, reconciliations, and financial reporting across UVA Workday and the UVA Fund.
- Support budgeting and financial compliance
, including budget preparation, procurement card administration, financial recordkeeping, audits, and reporting. - Manage administrative operations
, including student payroll coordination, maintaining personnel and payment records, purchasing office supplies, and providing administrative support across the Madison House team. - Oversee office and facilities operations
, including supervising a team of student employees who manage the front desk; coordinating building maintenance, technology, vendor contracts, mail and deposits, parking operations, inventory, and office equipment; and ensuring a welcoming environment for students, staff, and community partners. - Provide operational support for programs and events
, including logistics, room reservations, hospitality, travel coordination, and onsite event support. - Maintain organizational systems and compliance
, including financial documentation, data management, and coordination of operational compliance processes. - Collaborate with University and community partners
, including the UVA Provost Office Finance Team, to ensure effective financial and operational processes. - Contribute to organizational effectiveness by identifying process improvements, supporting cross‑functional initiatives, and fostering a collaborative, student‑centered workplace.
Education:
Bachelor’s degree
Experience:
Two years of relevant exempt level experience, typically in finance and budget. Relevant exempt level experience may substitute for a degree.
- Bachelor’s degree in business, accounting, public administration, or a related field.
- 3+ years of administrative, bookkeeping, accounting, or financial support experience, preferably in a nonprofit or higher education setting.
- Experience supervising students or entry‑level staff.
- Familiarity with UVA systems and processes, including Workday, the UVA Fund, and relevant purchasing and reimbursement policies.
- Intermediate to advanced proficiency in Microsoft Excel; proficiency with Microsoft Office Suite and Google Workspace.
- Experience using Quick Books Online, including journal entries, reconciliations, and financial reporting.
- Demonstrated experience managing financial records and maintaining accurate documentation.
- Experience processing payroll through a dedicated payroll system such as Paychex.
- Working knowledge of nonprofit accounting, fund accounting principles, and basic GAAP.
