Office Administrator/ Coordinator
Schedule: Full-Time | Hybrid (Min. 3 days/week in office, after 90-day probationary period)
Reports to: Administrative Supervisor
Position SummaryThe Administrative Specialist is a key client-facing role focused on workflow management, client support, and daily office operations. This position offers variety, autonomy, and the opportunity to contribute to internal process improvements and team culture in a fast-paced, professional environment.
DHA is a fully cloud-based firm with a mix of on-site, remote, and offshore team members. We’re looking for someone who is detail-oriented, tech-savvy, and confident learning new tools — including AI. If you're proactive, adaptable, and thrive in a dynamic setting, you’ll be a great fit for our innovative, client-focused team.
Key Responsibilities- Provide friendly, professional support to clients via phone, email, and in person
- Manage digital and paper documents, including assembly, filing, scanning, and distribution
- Track projects and tasks using workflow software and support accurate project check-ins
- Assist with scheduling, billing, accounts receivable, and general administrative tasks
- Collaborate with on-site, remote, and offshore team members in a fully cloud-based environment
- Engage with your team in promoting and administering cultural and morale-boosting activities
- Embrace technology and AI tools to improve workflows and increase efficiency
- High school diploma or equivalent (post-secondary education a plus)
- 2+ years professional office experience (CPA firm or similar environment preferred)
- Proficiency in Microsoft 365; CRM or project management tools a plus
- Strong attention to detail, organizational skills, and multi-tasking ability
- Proactive problem-solver with comfort in ambiguous and evolving workflows
- Excellent communication skills, both written and verbal
- Positive, friendly attitude and team-first approach
- Confidence working in a fully cloud-based environment
- Ability to adapt to new technology and tools quickly, including AI-driven platforms
- Experience with billing and accounts receivable
- Full-time: 40 hours/week (summer hours reduced to 36/week)
- Hybrid schedule: in-office minimum 3 days/week
- Office closed on Fridays between April 15 and Labor Day
