The Executive Assistant to the CEO/CEdO is responsible for providing senior executive support to the CEO/CEdO and Chair of the Board, and members of the senior administrative team, under the general direction of CEO/CEdO. This position will, on behalf of the CEO/CEdO, liaise with Trustees, the senior administrative team members, principals and vice-principals, managers, and staff on matters related to Board operations.
Reporting/Responsibilities- Provide personal assistance to the CEO/CEdO and Chair of the Board by scheduling/organizing appointments, speaking engagements, meetings, conferences in service of supporting the Board's Strategic Plan.
- Attend all Board meetings and under the direction of the CEO/CEdO, record and prepare minutes, arrange the appropriate signature, proper documentation and safe-keeping of minutes and other official documents relating to the Board of Trustees.
- Serve as the primary contact and liaison with all levels of officials at the Ministry of Education and other governmental ministries, the Board's Diocese, and individual parishes.
- Plan and coordinate meetings, workshops, Board functions and special events to facilitate collaborative working environments for administration, trustees and support staff.
- Oversee purchasing, expense reporting, paying invoices, and accounting for the CEO/CEdO and Trustees.
- Performing research to provide background information to the CEO/CEdO and Chair of the Board of issues/concerns arising from inquiries, requests, or complaints.
- Handle complaints, problem solve, provide solutions and walk-through steps of procedures within responsibility and relay inquiries to appropriate administrative personnel.
- Perform a variety of data and word processing including agendas, meeting minutes, briefing notes, reports, letters, memos, and emails.
- Review all documents, reports, and correspondence for format, content, grammar, and spelling.
- During the CEO/CEdO's absence, use initiative and judgment to see that matters requiring immediate attention are handled in an efficient and appropriate manner.
- Prepares and participates in virtual meetings – populating with necessary materials; attends and troubleshoots during online events.
- Adhere to corporate records management procedures.
- Receive incoming mail; review, evaluate, and distribute correspondence to senior administrative team.
- Maintain the highest regard for confidentiality in all matters.
- Perform other related duties as assigned by the CEO/CEdO.
- Completion of a 3-year Community College Diploma in Business Administration or an equivalent combination of education and experience;
Undergraduate Degree in business, finance or accounting would be preferred. - Minimum 5-year related work experience in providing executive assistance and administrative support to senior management; school administrative experience is preferred.
- Microsoft Office and/or Google Suite Software certification or designation.
- Exceptional interpersonal, oral and written communication and conflict management skills.
- An understanding of the support required by a board of trustees and formal meeting processes and ability to deal with sensitive/controversial issues with political acumen.
- Verbal conflict resolution training is preferred.
- Technical experience in setting up required equipment for virtual and in-person meetings.
- Demonstrated ability to develop and maintain sound working relationships with internal and external stakeholders and maintain high level of diplomacy and confidentiality in dealing with issues of sensitive or personal nature.
