Responsibilities
  • Handling office tasks such as filing, generating reports and presentations, setting up meetings, and reordering material.
  • Using computers to generate reports, transcribe notes and paperwork from technicians.
  • Maintaining polite and professional communication via phone, email and mail.
  • Anticipating the needs of customers and management to ensure a seamless and positive experience.
  • Providing real-time scheduling support while booking appointments, preventing conflicts, handling reschedules and missed jobs, and all scheduling requests.
  • Screening phone calls and routing callers to the appropriate party.
  • Following up on previous day’s jobs to confirm completion & reports completed.
  • Completing jobs once all required information is on job to send to billing.
  • Scheduling and confirming jobs starting the month before on the drop date.
  • Setting up new customer accounts, creating jobs and reoccurring services.
  • Updating customer data to keep Service Trade up to date (new contacts, billing contacts, new system services, reoccurring services).
  • Confirming and reporting instances of jobs not completed or missing paperwork to Division Manager.
  • Managing quote approval and job creation from quotes, and communicating to Division Manager.
Qualifications
  • 2 years prior administrative experience.
  • Excellent computer skills, especially related to typing and basic office software.
  • Attention to detail.
  • Multilingual is not required but is a bonus.
  • Desire to be proactive and create a positive experience for others.
  • Bonus if familiar with Service Trade platform.
Computer Skills

Microsoft Office including Word, Excel.

Physical Demands

While performing the duties of this Job, the employee is regularly required to sit and use hands to finger, handle, or feel. The employee is frequently required to talk or hear. The employee is occasionally required to stand; walk and reach with hands and arms. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision.
