Executive Assistant
Support the executive team at our corporate location in Ooltewah, TN. Primary liaison and operational anchor for the C‑suite as our organizational footprint and market presence continue to expand.
Essential Duties and Responsibilities- Handle highly confidential and strategic corporate information with sound judgement.
- Create and maintain complex spreadsheets and dashboards for leadership (KPIs; goals; budgets).
- Manage the executive team’s Outlook calendars, anticipating shifts across multiple time zones.
- Prioritize fast‑moving meeting requests while troubleshooting schedule conflicts.
- Play a key role in the planning and organization of executive and board‑level events, to include researching domestic and international event‑related options (venue, location, catering), preparing budget proposals, managing communications, and overseeing event logistics (coordinate numerous vendors, entertainment).
- Prepare physical and virtual conference rooms for hybrid meetings – includes advanced technology set‑up, video conferencing coordination, and clean‑up.
- Prioritize and manage multiple critical projects and initiatives simultaneously.
- Follow through on corporate issues and action items in a timely manner.
- Assist with compiling, analyzing, and preparing executive‑level spreadsheets and financial data.
- Assist with high‑impact PowerPoint slides for board meetings, town halls, and investor events.
- Partner with the executive leadership team and business units for various reports, data, information, and cross‑entity requests.
- Create and maintain secure, modern databases for contacts, passwords, digital files, and corporate materials.
- Create and maintain re‑occurring and ad‑hoc corporate operational reports.
- Take concise minutes during executive sessions and distribute action items appropriately.
- Assist with purchasing and maintaining essential supplies for the corporate office.
- Work closely with flight operations to coordinate and maintain company flight schedules to optimize usage.
- Arrange complex travel for the executive team, coordinating logistics across multiple operational hubs and international destinations.
- Process expense reports and submit through Concur system, ensuring compliance with corporate travel policies.
- Oversee multi‑leg travel arrangements and the expense reimbursement process for visiting executives and global partners.
- Additional special projects and strategic tasks as assigned.
- Other duties may be assigned.
- Bachelor’s Degree & 6-8 years of experience in an Executive Assistant role supporting C‑Suite leaders, preferably within a manufacturing or industrial environment.
- Deep experience using Travel & Expense software i.e., Concur, including international booking protocols.
- Highly proficient managing complex Outlook calendars across multiple time zones and corporate functions.
- Advanced skills in Microsoft Suite;
Word, Excel, Outlook, and PowerPoint. - Intermediate skills using modern AI tools and automated workflows for business productivity.
- Proven ability to maintain strict confidentiality regarding sensitive organizational changes and growth strategies.
- Excellent organizational, time management, and forward‑planning skills.
- Strong interpersonal, intercultural, and verbal and written communication skills.
- Highly organized and ability to oversee multiple projects at once.
- Works with a high sense of urgency, thoroughness, and adaptability while maintaining composure in a high‑growth environment.
