Job OverviewThe Healthcare‑Associated Infections and Antimicrobial Resistance (HAI/AR) Program within the Communicable and Environmental Diseases and Emergency Preparedness (CEDEP) division of the Tennessee Department of Health (TDH) is currently seeking a full‑time Administrative Services Assistant (ASA) 4 position. This role is funded annually through CDC cooperative agreements. The ASA 4 will serve as an assistant to the HAI/AR Program, acting as a liaison between the team and the CEDEP Business and Grants Management Team, and will support day‑to‑day business functions such as hiring assistance, meeting scheduling, and travel coordination.
Job Duties- Develop policies and procedures for new or modified administrative services programs.
- Create and update written guidance documents for administrative processes.
- Monitor the shared team email account and forward messages in accordance with protocol, forwarding at least two times per day; process and distribute lab messages as appropriate.
- Serve as liaison between the HAI/AR team and the CEDEP Business and Grants Management Team and other health areas.
- Assist with navigating grant and vendor contracts.
- Support hiring processes, including developing position descriptions, advertising openings, scheduling applicant interviews, and coordinating with Human Resources.
- Coordinate onboarding and offboarding of staff, and handle software and supplies procurement requests.
- Maintain inventory of supplies; submit purchase orders to restock as needed, completing office supply orders within five business days of request and equipment orders within five days of approval.
- Address staff inquiries about travel, procurement, and other requests.
- Remind staff of required trainings and inventory self‑audit tasks.
- Act as the HAI/AR Section Inventory Manager.
- Schedule team meetings and other events as needed.
- Provide support to additional HAI/AR projects as required.
- Strong oral and written communication skills.
- Strong organizational skills.
- Detail‑oriented with strong note‑taking skills.
- Intermediate experience with Microsoft products such as Excel, Word, PowerPoint, and Access.
- Intermediate experience with platforms such as Microsoft Teams, SharePoint, and other communication platforms.
