What You'll Do

  • Coordinate incoming service requests and dispatch technicians to customer locations.
  • Schedule and prioritize service work to maximize technician productivity and customer satisfaction.
  • Maintain daily technician activity records, labor entries, and service documentation.
  • Process purchase orders and manage subcontracted service work.
  • Create and maintain user accounts within Tinnacity and process internal purchase orders.
  • Follow up on quoted repair work to support customer approvals and service completion.
  • Process and manage warranty claims accurately and efficiently.
  • Review Tinnacity errors, research discrepancies, and take corrective action.
  • Communicate proactively with customers regarding scheduling, service updates, and repair status.
  • Work closely with Service Managers, technicians, Parts, and other departments to ensure exceptional customer service.
  • Maintain accurate records and ensure service information is current within company systems.

Expected Outcomes (KPIs)

  • Coordinate technician schedules to maximize productivity and customer responsiveness.
  • Maintain accurate labor, service, warranty, and purchasing records.
  • Respond to customer and internal requests within the same business day whenever possible.
  • Minimize scheduling conflicts and dispatch delays.
  • Ensure timely follow-up on outstanding repair quotes and open service items.
  • Support high customer satisfaction through proactive communication and efficient service coordination.
  • Maintain accurate data within Tinnacity and other service management systems.

Background & Experience

  • High school diploma, GED, or technical school graduate preferred.
  • Previous experience in a service coordination, dispatch, customer service, or administrative role preferred.
  • Experience using service scheduling or dispatch software is highly preferred.
  • Strong organizational and time management skills with the ability to prioritize multiple responsibilities.
  • Excellent verbal and written communication skills.
  • Strong math and computer skills with attention to detail.
  • Experience with in industrial equipment, material handling, heavy equipment, construction, automotive, or a service-based industry is a plus, but not required.
