PURPOSEThe Office Manager serves as the first point of contact and daily operational anchor for Sage Hill Investors. This person creates a polished, welcoming, and highly organized office experience for employees, guests, and family members while supporting the administrative needs of a dynamic family office. This role sits at the center of the office’s day-to-day activity and ensures that the physical office runs smoothly.
The right person will be warm, dependable, proactive, and comfortable handling a wide variety of tasks in a fast-moving, high-trust environment.
- Front Office & Office Operations: You are the welcoming face of Sage Hill Investors and help create a warm, professional, and well-run office environment. Guests, family members, and team members are greeted with a strong sense of hospitality. Operationally, supplies are stocked, snacks and beverages are maintained, mail is handled, meeting spaces are prepared, and the office remains clean, organized, and ready for the day.
- Teamwide Administrative Support: You provide dependable administrative support across the office, helping the Director of Operations, Chief of Staff, senior leadership, and other team members with scheduling, document organization, meeting preparation, errands, event logistics, special projects, and other operational needs. You are flexible, service-minded, and willing to help where needed.
- Accounting & Document Support: You support basic accounting and administrative workflows, including routing disbursements for approval, entering approved items into Quick Books or other approved systems, tracking credit card activity, and keeping investment updates, financials, and other records organized.
- HR & Team Support: You assist with routine HR and team-related administrative needs, including onboarding logistics, office policies, employee records, benefits support, and other internal processes as directed by the Director of Operations.
- Vendor & Building Coordination: You help coordinate building access, guest entry, parking needs, and communication with vendors including property management, catering, IT support, maintenance, cleaning, and other service providers. You are attentive to issues as they arise, help route them to the appropriate person or vendor, and communicate clearly until they are resolved.
- Family Support: You assist with trusted administrative support for the family, helping with personal insurance coordination, personal property support, events, errands, scheduling, and other personal or household-related needs handled through the family office.
- Operational Follow-Through: You are proactive, attentive, and dependable. You notice what needs attention, communicate clearly, and follow through without waiting for every task to be handed to you. The office feels calmer, more organized, and more professional because you take ownership of the details.
- Prior experience in office management, executive administration, hospitality, operations, property management, or a related administrative role is helpful, but not required.
- Strong organizational skills and the ability to manage multiple priorities without losing track of details as well as professional written and verbal communication skills
- Comfort working with Google Workspace, basic accounting, document management systems, and office technology.
