Position Summary:
The Administrative Assistant provides comprehensive administrative support to ensure the smooth and efficient daily operations of the Residential Habilitation program. This position is responsible for maintaining accurate and timely documentation required for quality assurance, regulatory compliance, and licensure requirements. The Administrative Assistant assists with coordinating medical appointments, maintaining program records, and providing administrative support to the Residential Habilitation administrative team. This position requires strong organizational skills, attention to detail, confidentiality, and the ability to effectively communicate with staff, individuals served, families, and other professionals.
- Successful completion of the Medication Administration Course
- A valid driver’s license with a class F endorsement.
- Assist the Coordinators with group home budgets to ensure accuracy and compliance with financial guidelines.
- Coordinate and assist with medical appointments, ensuring proper communication and documentation.
- Receive, review, and organize paperwork related to medical, personnel, and program operations.
- Attend departmental meetings and accurately record and distribute meeting minutes, including key discussions, decisions, action items, and follow-up responsibilities.
- Maintain records and documentation required for Quality Assurance (QA) and licensure compliance.
- Track, record, and maintain inventory of personal belongings for individuals supported.
- Assist in preparing documentation and materials for audits, inspections, and internal reviews.
- Support communication between administrative staff, management, and direct support teams.
- Assist with other administrative or operational tasks as assigned by the Director.
Qualifications:
- High school diploma or equivalent required; associate degree preferred.
- Previous experience in administrative support or human services preferred.
- Strong organizational and time management skills.
- Proficiency with Microsoft Office and data entry systems.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Strong attention to detail and ability to prioritize multiple tasks.
- Successful completion of the required examination without restrictions
