We're looking for a reliable and professional Front Desk Concierge/Treatment Coordinator to join our team and be the friendly face that greets each patient who walks through our door.
Position Overview:The Front Desk Concierge/Treatment Coordinator plays a key role in the daily operations of our orthodontic practice. This person is responsible for welcoming patients, managing the schedule, handling incoming calls, verifying insurance, and supporting the team with administrative tasks — all while creating a positive first and lasting impression. This person is also steps in as a Treatment Coordinator part time.
The Treatment Coordinator will assist new patients in understanding the orthodontic treatment and financing options that best meet their needs. The ideal applicant would have excellent verbal and written communication skills, must be a team player, and strong desire to serve patients.
- Greet patients and visitors warmly and professionally
- Answer multi-line phones and respond to patient inquiries
- Schedule and confirm appointments using Dolphin Management Software
- Optimize the schedule to ensure smooth patient flow and clinical efficiency
- Verify orthodontic insurance coverage and assist with billing inquiries
- Collect and process payments, provide receipts, and explain financial policies
- Maintain accurate and up-to-date patient records
- Collaborate with the clinical team to ensure clear communication and smooth transitions
- Perform other front desk administrative tasks as needed
- Provide outstanding customer service to patients and referring facilities
- Confidently present financing options that meet the patients' needs
- Previous dental or orthodontic front office experience strongly required
- Fluent bilingual Spanish and English speaker is a plus
- Excellent communication and interpersonal skills
- Strong attention to detail and multitasking ability
- Professional, polished, and friendly demeanor
- Knowledge of orthodontic/dental terminology and insurance is helpful
- High school diploma or equivalent required
- Treatment Coordinator experience preferred
