Summary

The Shipping Coordinator is responsible for receiving all materials into the facility, including equipment and supplies, and shipping all materials from the facility. Records and maintains all shipping and receiving documentation and scheduling of shipping and receiving transportation.

Essential Duties and Responsibilities

Responsibilities are organized into several key areas:

Safety
  • Perform job duties safely and in compliance with the Safety, Health & Environmental system.
  • Follow instructions for safe handling of materials as per product Material Safety Data Sheet.
  • Oversee all employee activities to ensure compliance with all Safety, Health and Environmental Policies.
  • Participate in Monthly Safety Meetings and conduct safety audits.
  • Assist the Plant Manager in implementing the Safety Management Program / Systems.
  • Support Health, Safety, and Environmental in establishing training at the facility.
People
  • Analyze and resolve work problems, or assist workers in solving work problems.
  • Prepare and verify weekly payroll information to ensure timely and accurate compensation for shift workers.
  • Maintain vacation schedules for shipping co‑workers to ensure appropriate staffing.
  • Build team culture and company pride to promote morale and welfare.
Quality
  • Perform job duties in compliance with defined management system requirements.
  • Participate in plant problem‑solving activities and identify improvements within the quality process.
  • Ensure material flow from the beginning of the production process and coordinate with quality control, blending, and shipping to fulfill customer orders and requirements.
Responsiveness
  • Prepare all necessary documentation for shipping and receiving materials including Bills of Lading, Receiving Report, etc.
  • Maintain and record all documentation regarding shipping and receiving of materials.
  • Assist with problem solving for plant‑specific thresholds related to improving productivity or responsiveness.
  • Compile required reports regarding regular inspections, material testing, and steps taken to resolve deficiencies.
  • Confirm that materials received are correct to the Purchase Order or Advanced Shipping Notice.
  • Determine efficient and effective storage and warehousing of incoming and outgoing materials.
  • Understand equipment and its function; identify causes of equipment‑induced quality defects.
  • Ensure proper labeling procedures are conducted consistently and in line with company practice.
  • Manage correct placement and storage of all incoming and outgoing materials.
  • Maintain electronic database and ensure materials are processed, entered, and maintained appropriately.
  • Perform other duties and assignments as directed by the Materials and Logistics Supervisor.
Cost
  • Support cost‑reduction initiatives for the plant each year.
  • Support inventory turnover management and finished inventory levels (i.e., dead inventory).
Education/Training/Experience
  • High School Diploma or equivalent required. Two‑year associate’s degree in a technical field is preferred.
  • Two (2) years of experience working with railroad, shipping, and receiving preferred.
  • Working knowledge of extrusion equipment and processes.
  • Strong computer skills and knowledge of computerized inventory systems.
  • Excellent written, verbal, and presentation communication skills.
  • Professional attitude and ability to respond to changing business priorities.
  • Ability to work independently, organize, take initiative, and exercise sound judgment.
  • Ability to pass a functional capacity examination to qualify for the labor demands of the position.
  • Demonstrated interpersonal and communication skills necessary to promote ideas, motivate people, and develop relationships.
