The Administrative Assistant to the Superintendent/School Board provides high-level, confidential administrative support to ensure effective operations of the Superintendent’s Office and the School Board. This position manages the coordination, preparation, and retention of district and board information; supports communication across the district and community; and assists in executing the day-to-day functions necessary for smooth governance and district leadership.
EXAMPLES of DUTIES:Essential Job Functions:
Superintendent Support
- Manage the Superintendent’s calendar, schedule appointments, and coordinate meeting logistics
- Handle confidential correspondence, communications, and sensitive information
- Prepare internal and external communication on behalf of the Superintendent
- Produce high-quality documents and visual materials such as memos, PowerPoint presentations, flyers, charts, and graphs for effective dissemination
- Maintain Superintendent files, district records, and required documentation
- Assist in preparing federal, state, and local reports
- Coordinate travel, conference registrations, and professional engagements
- Support beginning and end-of-year organizational processes
- Attend all School Board meetings, work sessions, and committee meetings
- Prepare, distribute, and post board agendas
- Record, prepare, and maintain Board meeting minutes
- Maintain Board policies and procedures on district systems
- Schedule and coordinate all Board and committee meetings
- Remain current on various laws and regulations and ensure compliance with Open Public Meetings Act requirements
- Serve as the district’s election clerk and support School Board election processes
- Receive and screen calls and visitors, respond to inquiries as appropriate
- Prepare, monitor, and maintain budgets for Superintendent’s Office and School Board
- Provide cross-training and collaborate with district office staff
- Maintain office supplies and operational workflows
- Maintain and track District contracts/agreements
- Assist in coordinating student teaching placements/observations in collaboration with colleges/universities and building principals

- High school diploma or equivalent required;
Associate’s or Bachelor’s degree strongly preferred - Experience as an administrative or executive assistant
- Experience with confidential records and public-sector communication strongly preferred
- Criminal Justice Fingerprint background clearance, cost paid by applicant
