SummaryThe Center Operations Manager will be involved in many facets of the business including day-to-day management, recruitment, scheduling, customer service, reporting and general administrative tasks in support of the Center's operations. They maintain accurate records related to staffing and delivery of service for each case and assist in the creation, maintenance, and management of a master schedule, adequately staffing clinical cases according to the budgeted hours per client as authorized by the client's insurer.
The Operations Manager will support HR, Operations, and the Clinical department, acting as a reliable source of information to staff, clients, peers, and management. They will be the liaison between the administrative and clinical staff and act as the primary point of contact regarding case assignment and staff availability. Additional duties may be assigned based on the needs of the company.
- Manage day-to-day operations of the center, including scheduling and staffing to meet budgeted hours per client.
- Recruit, onboard, and support staff; liaise between administrative and clinical teams.
- Provide excellent customer service and maintain accurate records related to service delivery and staffing.
- Generate and review reports; support the creation and maintenance of a master schedule.
- Collaborate with HR, Operations, and Clinical departments to ensure efficient operations.
- Act as primary point of contact regarding case assignments and staff availability.
- Perform additional duties as required by company needs.
- To perform this job successfully, the individual must perform each essential duty satisfactorily, adapt to change productively, and handle other essential tasks as assigned. Experience with scheduling and operations is required; professional knowledge in these areas is expected.

- Bachelor's Degree or equivalent work experience.
- Bachelor's degree in Marketing, Business Administration, or Healthcare (preferred).
- 1-2 years medical, dental, therapy, PT, OT office (or similar) administration or scheduling required.
- 3-5 years experience preferred.
- Prior Practice Managers are encouraged to apply.
- Strong rapport-building skills, especially on the phone.
- Sense of urgency and ability to work independently toward goals.
- Excellent time management and organization; ability to manage multiple tasks and meet deadlines.
- Attention to detail and ability to apply consistent processes across the company.
- Superb communication skills; able to collaborate with ABA personnel and to listen and communicate well with management, staff, and families/clients.
- Professional appearance and presentation.
- Proficient in Microsoft Office (Word, Excel, PowerPoint); proficient in email/Outlook.
- Ability to keep accurate records, work in databases, track processes, and use Excel.
- Experience with Zoom and GoTo Meeting software; ability to learn ReThink software within 30 days.
- Exposure to sounds and high telephone activity; potential for stress due to deadlines.
- Hours:
8:30 a.m. to 5:00 p.m., with possible variation based on recruitment projects and company needs. - Full-time employment is an essential function; may require working outside regular hours.
- Must be able to read and respond to emails and accept calls outside of work hours.
