Overview
Congregation Shalom is seeking a part-time on-site detail-oriented and organized Bookkeeper to support the financial operations of our synagogue. This part-time, in-person role is responsible for managing accounts receivable and payable, payroll processing, financial recordkeeping, and administrative support. The ideal candidate is an independent, self-directed worker who can manage responsibilities efficiently while contributing to a community-focused environment and working closely with lay leadership.
Key Responsibilities Accounts Receivable- Enter checks into Shul Cloud, prepare deposits, and make bank deposits
- Verify and reconcile online payments; follow up with members as needed
- Send donation acknowledgment/thank-you receipts
- Maintain and update pledge, school payment, and grocery program spreadsheets
- Monitor online banking to ensure all income is recorded in Quick Books
- Generate invoices for pledges, school tuition, programs, grocery cards, B-Mitzvahs, donations, etc.
- Prepare year-end giving statements for members
- Receive and process bills; obtain approvals for non-recurring expenses
- Enter bills into Quick Books and upload documentation to One Drive
- Process bill payments (including online portals)
- Ensure all recurring and credit card transactions are accurately recorded
- Reconcile four bank and credit card accounts
- Send monthly payroll reminders to employees and contractors
- Collect and process payroll information using Paychex Flex
- Review payroll for accuracy prior to submission
- Record payroll in Quick Books and maintain documentation in One Drive
- Monitor and respond to email or route inquiries appropriately
- Meet with members, committee members, clergy, and lay leadership as needed
- Generate financial reports using Quick Books and Shul Cloud
- Prepare journal entries, including month-end and year-end close entries
- Mail handling, scanning, and filing
- Complete and submit town permit renewals (e.g., security alarm permit)
- Manage raffle/lottery compliance paperwork and reporting (including MA Lottery Commission requirements)
- Minimum of 5 years of bookkeeping experience (required)
- Bachelor’s degree in Finance, Business, or a related field (preferred; may be waived for candidates with extensive relevant experience)
- Experience working in a non-profit organization (preferred)
- Religious non-profit work experience (preferred)
- Proficiency in Quick Books (required)
- Familiarity with Shul Cloud or similar CRM/database systems (preferred)
- Strong skills in Microsoft Excel, Word, and Outlook
- Experience with Paychex Flex or similar payroll systems (preferred)
- Ability to work independently and be self-directed
- High attention to detail and strong organizational skills
- Ability to handle confidential information with discretion
- Strong communication and follow-up skills
