Job Goal: To assist the Dean by performing diversified secretarial and clerical assignments where judgement is required in the analysis of facts and circumstances surrounding individual problems or transactions, and the determination of action to be taken within the limits of accepted school practice.
Performance Responsibilities- Perform diversified secretarial and clerical duties to assist with the administrative details in the Hawthorne House office at Chelmsford High School, working closely with faculty and staff, under the direction of the House Dean.
- Act as a receptionist, greet visitors, and provide necessary information and direction.
- Answer phone calls, use judgment as to taking messages, refer calls to others when necessary, and interrupt staff members to supply necessary information.
- Place calls as required, contacting staff, instructors, students, parents, or others as the situation requires.
- Open and screen mail, reply to routine correspondence, secure and arrange any reference material to facilitate replies.
- Maintain various records in an orderly condition, including financial records, billing, payment processing, curriculum, schedules, staff, and student records.
- Maintain all aspects of student and staff data in X2 database such as enrollments/withdrawals, attendance, schedules, grade posting periods, etc.
- Perform data entry duties, establishing priorities and reviewing for accuracy.
- Operate all office equipment as necessary to accomplish responsibilities.
- Maintain work area and equipment in neat and orderly condition.
- Respond to requests for information.
- Proofread documents, letters, brochures, and reports issued by the department.
- Issue timely announcements of upcoming events, deadlines, etc.
- Prepare letters, reports, memoranda, policies, bulletins, and other materials.
- Purchase, under approved procedures, items of supplies and equipment necessary for the operation of the department, and maintain adequate supplies of various materials and forms.
- Assist with collection of fees and preparation of deposits and payroll for various school‑approved programs.
- Perform other related duties as required or as directed.
Work year: 195 days.
Salary and paid holidays will be determined by collective bargaining agreement.

Job Requirements- Qualifications:
- Knowledge of specialized field of education involving administrative techniques, methods, and procedures.
- High School Diploma plus additional broad specialized training equal to two (2) years experience.
- One to three (1–3) years experience as a secretary.
- Ability to multi‑task in a busy environment.
- Promote a friendly, professional environment for staff, students, parents, and other visitors.
- Must be resourceful, take initiative, and work as a team player.
- Competency using work processing, spreadsheet and accounting software.
- Strong verbal and written communication skills, including proper use of grammar.
- Capable of handling detailed and confidential information.
- Alternative qualifications as may be found appropriate and acceptable.
- Citizenship, residency or work visa required.
