Part‑time Program Assistant

Location:

Chelsea Recreation & Cultural Affairs, Williams School Building, 180 Walnut Street.

Hours:

part‑time up to 19 hours/week, including evenings and weekends. Rate: $25.00 per hour (non‑union).

The Program Assistant performs a variety of clerical duties that support the recreation, continuing education, and cultural programs provided by Chelsea Recreation & Cultural Affairs. Responsibilities include organization and maintenance of all front desk transactions including registration documents and cash/credit card payments.

Education & Qualifications

High School diploma required; post‑secondary degree preferred. Excellent organizational skills; strong attention to detail and accuracy. Strong written & verbal communication and computer literacy skills. Experience working in a fast‑paced environment using databases, registration, and Microsoft Office software. Proactive, dependable, and able to take initiative. Handles multiple priorities effectively. Bilingual capabilities English/Spanish preferred. Availability:

  • Weekdays:
    Tuesdays and Thursdays 3:30‑9:00 pm
  • Weekends:
    Saturdays 8:00‑5:00 pm
Skills & Experience
  • Provide front‑line customer service to residents, participants, and organization partners in‑person, by phone, and email. Contribute to a welcoming, inclusive, and professional environment.
  • Follow department policies, procedures, and supervisory direction.
  • Handle program registrations/enrollment, waitlists including collection of class fees/written receipts, and applications for use of the Chelsea Public School facilities.
  • Become a source of information knowledgeable about the program, its partners and activities, and the ongoing happenings of the Chelsea community.
  • Keep participants informed about any changes in the schedule.
  • Set up all literature to be distributed, daily signs, activity easel and banner.
  • Identify and resolve routine issues proactively and elevate concerns when needed.
  • Communicate with security and custodians to inform them of what’s happening in the building.
  • Communicate with administration providing suggestions/concerns applicable to the program.
  • Know, understand, and be able to execute the Emergency Action Plan.
