POSITION: Administrative Assistant to Human Resources
SCHEDULE: Year-Round Position
LOCATION: District Office, 12414 S Andrus Rd, Cheney, WA 99004
SUPERVISOR: Department Director(s)
POSITION TYPE: Classified, Non-Represented
COMPENSATION: $60,975-$71,950, depending on comparable experience;
Pay is annualized over 12 months (if hired after Sept, spread over remaining months of contract year (Sept-Aug))

Duties and Responsibilities- Answer HR department phone line, respond to inquiries, greet staff and the public in a friendly and professional manner, directing both internal and external customers to the appropriate human resources or payroll staff for assistance when necessary
- Assist in coordination, collaboration, and scheduling as needed for all human resources staff
- Develops and supports employee engagement initiatives that promote a positive workplace culture, strengthen employee satisfaction, and support organizational goals
- Assist with maintaining district human resources website information, HR Google Drives, uploading staff photos into Skyward, and other software systems as needed
- Support the district’s time‑off/substitute management system as needed
- Coordinate with the human resources team and administrators regarding hiring processes, recruitment and job fairs
- Assist with employee recruitment through strategic outreach, community partnerships, and hiring initiatives.
- Assist human resources department staff with job postings and advertisements, along with the collection and processing of application materials as needed
- Manage new hire onboarding: prepare packets, process paperwork, enter data in HRIS and third‑party systems as needed, create personnel files, coordinate fingerprinting/background checks, and track s
- Maintain accurate employee records in HRIS (contact, benefits, certifications, immunizations, etc.); notify staff of certification requirements
- Support development, implementation and delivery of new employee orientation, onboarding, and training; maintain training records in systems (e.g., Vector/Safe Schools)
- Process employee separations and maintain related records
- Support with volunteer applications, review and tracking; communicate with school sites
- Process and track contract services employees
- Assist the human resources and business office staff with processing of benefits and other employment related information
- Coordinate annual open enrollment and communicate benefit updates
- Track and report benefits data; maintain benefits webpage
- Maintain retirement plan records and provide related information to employees
- Process employment and experience verification requests
- Support employee recognition activities
- Proctor employee testing as needed
- Assist with accurate record keeping and tracking of association negotiations and labor management as requested
- Prepare annual purchase requisitions and process invoices to business office as required
- Participate in HR trainings and meetings to maintain compliance knowledge
- Support and assist in the efficient operation of a comprehensive human resources program

Skills and Abilities
Knowledge of: Google Workspace and Microsoft Office Suite; administration and use of Windows;
Basic computer skills including, but not limited to; e‑mail, internet, etc.; K‑12 education structure of Washington State; necessary record‑keeping for state and federal auditing;
Washington State legislative laws, rules, codes and regulations; compliance with state and federal requirements for records retention
