Job Summary:

Looking for a highly experienced, proactive, and discreet Executive Assistant to provide comprehensive administrative and strategic support to members of our Executive Leadership Team (ELT). The successful candidate will be an indispensable partner, enabling the ELT to focus on strategic initiatives and critical decision-making. This role requires exceptional organizational skills, impeccable judgment, cultural sensitivity, and a proven track record of supporting senior executives within a fast-paced corporate environment.

Key Responsibilities:

Executive Support:

- Manage complex calendars, scheduling meetings, appointments, and travel logistics (domestic and international) with meticulous attention to detail and cultural considerations common in the GCC region.
- Organize and coordinate high-level meetings, including preparing agendas, drafting minutes, tracking action items, and ensuring timely follow-up.
- Handle sensitive and confidential information with the utmost discretion and professionalism.
- Prepare and edit presentations, reports, spreadsheets, and other documents, ensuring high quality and accuracy.
- Act as a primary point of contact for internal and external stakeholders, screening calls, emails, and correspondence, and directing inquiries appropriately.
- Process expense reports, invoices, and other financial documentation in compliance with company policies.

Logistical & Event Coordination:

- Arrange comprehensive travel plans, including flights, accommodations, ground transportation, and visa requirements, often involving complex itineraries and last-minute changes.
- Coordinate and support corporate events, workshops, and off-site meetings, from planning to execution.

Relationship Management:

- Build and maintain strong professional relationships with internal departments, external partners, and high-level contacts, demonstrating strong interpersonal and cross-cultural communication skills.
- Represent the ELT with professionalism and a service-oriented approach.

Office & Project Management:

- Anticipate needs and proactively address potential issues, demonstrating strong problem-solving abilities.
- Assist with special projects, research, and presentation as assigned, often requiring independent judgment and initiative.
- Maintain organized digital and physical filing systems.
- Manage office supplies and equipment for the executive office.

Qualifications:

- Education:

Bachelor’s degree preferred; a combination of relevant experience and education will be considered.

- Experience:

- Minimum of 5+ years of progressive executive assistant experience directly supporting C-suite executives or senior leadership teams.
- Proven track record of success working within a corporate environment is essential. This includes an understanding of regional business practices, cultural nuances, and communication styles.

Skills &

Competencies:

- Exceptional proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant business software.
- Superior written and verbal communication skills in English
- Highly organized, detail-oriented, and able to manage multiple priorities and deadlines effectively in a fast-paced setting.
- Strong proactive approach and ability to anticipate needs, foresee challenges, and propose solutions.
- Demonstrated ability to exercise sound judgment, maintain confidentiality, and exhibit a high level of integrity.
- Excellent interpersonal skills with the ability to interact professionally with individuals at all levels, both internally and externally.
- Adaptable, flexible, and capable of thriving in a dynamic and evolving environment.
