Hourly Wage: $19.90 - $24.88
Key Responsibilities- Monitor, maintain, and identify work standards that lead to improved operations performance.
- Support development and deployment of activities in operational management databases.
- Assist in development and maintenance of procedures, forms, and work measurements.
- Write and edit information in manuals and forms clarifying operations policies and procedures.
- Organize and track departmental service contracts, ensuring purchase orders are issued for contract renewals and new contracts.
- Record all applicable service requests submitted to the Helpdesk for Facilities Maintenance.
- Compile, assign, track, and close Facilities-related Customer Assistance Forms (CAFs) in the CAF system.
- Review maintenance records and enter data into various management databases.
- Maintain directors’ appointment calendars and administrative, financial, and personnel files, including payroll.
- Process National Transit Database information for Agency reporting.
- Plan and organize travel and meetings, internally and externally.
- Organize, author, and present oral and written reports for department heads.
- Administer and maintain operations management computer databases; advise staff on database capabilities and create/modify software business rules, tables, forms, etc.
- Resolve database problems, test new procedures, and document changes in the production environment.
- Oversee daily database administration, user file management, troubleshooting, application support, security, and recovery.
- Develop ad hoc queries and generate reports.
- Serve as backup for personnel records, time and attendance data, payroll review, and special reporting.
- Manage records in compliance with Hampton Roads Transit Records Management Policies and FTA guidelines.
- Coordinate records management effort within the department.
- Perform other duties as assigned.
- Minimum of five years of administrative experience; transit agency experience is a plus.
- High school diploma or GED required.
- Proficient typing, computer, and office skills with strong grammar and writing abilities.
- Ability to communicate effectively, orally and in writing, with the public and employees.
- Ability to organize, plan, and work independently in a dynamic environment.
- Knowledge of transportation district operations and administrative techniques.
- Experience with computerized spreadsheets and databases to prepare reports and correspondence.
- Desirable: extensive knowledge of database software configuration, management, and entry methods.
- Valid driver’s license required; must obtain a Virginia driver’s license within 60 days if originally licensed in another state.
- FLSA Status:
Non‑Exempt. - Physical demands include regular keyboard use, lifting up to 40 lbs., bending, stooping, standing, and walking.
- Work may require seasonal overtime and reassignment to alternate HRT sites.
- MS Windows, MS Office 365 (Word, Excel, Access, PowerPoint, Outlook).
- People Soft, Trapeze Enterprise Asset Management (EAM).
- MS Dynamics 365 Enterprise Resource Planning (ERP).
- Adobe Reader, Win Zip, Symantec.
