Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
Position
Project Administrator – responsible for routine project documentation, materials, job costing, status monitoring, invoicing, and administrative closeout of projects.
Work ScheduleMonday to Thursday – onsite with colleagues. Friday – choose your work location to balance work requirements.
Responsibilities- Under direct supervision, ensure projects are completed on time by interacting with the Admin Team Leader, Area Service Managers, and assigned service team members.
- Set up service agreements and quoted projects/jobs in the system application based on transition documents.
- Review and update Billing Backlog reports daily.
- Examine invoices for accuracy, process service invoices for assigned job types, and validate, apply, and post applicable costs to service work orders.
- Coordinate with team members to record project costs accurately and in a timely manner, including materials, time sheets, labor hour allocation, and daily reports.
- Enter and edit Purchase Orders as needed.
- Handle billing request changes and special customer requirements promptly.
- Perform general administrative billing functions and generate, interpret, and print assigned reports.
- Prioritize and organize tasks to meet timing requirements or deadlines.
- Communicate with Account Managers, Field Technicians, Customers, Area Service Managers, and other internal team members to resolve obstacles or answer inquiries regarding billing.
- Schedule and participate in internal project team meetings to ensure accurate transfer of information.
- Maintain customer satisfaction by investigating concerns, implementing corrective action, and communicating with customers and staff.
- Reconcile purchasing card transactions for technicians, file appropriate state‑required forms, and prepare claims for filing as needed.
- One‑year certificate from college or technical school and three (3) plus years of related billing experience and/or training; or equivalent combination of education and experience.
- Non‑4‑year‑degree candidates encouraged; practical experience and alignment with leadership principles are prioritized.
- Strong communication skills and proactive approach to work independently and as part of a team.
- Proven ability to prioritize tasks to meet tight deadlines in a high‑paced environment.
- Familiarity with HVAC system operations preferred (not required).
- Flexibility to work overtime/ weekends as required.
Annual Base Salary Range: $42,000.00 – $60,515.00. Compensation may vary based on seniority, merit, geographic location, education, experience, travel requirements, and union designation.
