Job DescriptionThe Administration Department for Parks, Recreation and Tourism is seeking a dynamic Seasonal Office Specialist who is passionate about public service and delivering exceptional customer experiences. This role serves as a key point of contact for the Parks, Recreation and Tourism Department, supporting both the front office and Visitor Center.
Responsibilities- Welcome visitors, answer phones, and provide information on programs, services, facilities, and local attractions.
- Register participants and process transactions using point-of-sale and recreation management systems.
- Deliver excellent customer service in alignment with the City’s Customer Service Initiative and Visitor Center standards.
- Support department events and programs as needed.
- Use City and departmental websites, social media, and design tools to assist with outreach and create flyers and marketing materials.
- Help manage inventory, including restocking and distributing brochures and promotional materials.
- Assemble welcome bags and fulfill visitor guide and brochure requests.
- Provide general clerical and administrative support to ensure smooth daily operations.
- Assist with special projects as needed and perform other related duties as assigned.
You’ll be an essential part of creating a welcoming, helpful, and informative experience for everyone who interacts with the Parks, Recreation and Tourism Department.
Required Qualifications- High school diploma or GED and a minimum of one year of college education in word processing, secretarial skills, or a closely related field.
- Minimum of one year of full‑time equivalent experience in administrative support.
- Valid driver’s license with a driving record in compliance with the City Driving Standards.
- May be expected to work hours in excess of normal scheduled hours in response to short‑term department needs and/or City‑wide emergencies.
- Position may be safety‑sensitive; subject to pre‑employment drug/alcohol testing and random testing. Testing includes marijuana; a medical marijuana certification will not be considered a positive result unless the position requires a commercial driver’s license or is a sworn law‑enforcement officer/deputy.
- Strong customer service skills with a proactive, improvement‑focused mindset.
- Excellent writing, proofreading, and business correspondence abilities.
- Knowledge of standard office procedures, equipment, and administrative practices.
- Ability to prioritize tasks, stay flexible, and manage multiple assignments.
- Proficiency in Microsoft Office (especially Outlook) or similar email systems.
- Experience with registration systems, point‑of‑sale platforms, and graphic design tools.
- Ability to create marketing materials and support promotional efforts.
- Team‑oriented, dependable, and able to work independently with strong problem‑solving skills.
- Basic accounting knowledge and cash‑handling experience.
- Interest in working with the public and providing helpful, engaging service.
- Familiarity with local and regional attractions (or willingness to learn).
- Willingness to support at least two department special events outside regular hours.
